.8FTE Academic and Campus Life Administrative Assistant

to support our Academic and Campus Life Offices during the school year. The role works approximately 42 weeks of the year including paid vacation time.

What You'll Do:



Provide Administrative Support:

Assist the Deputy Head - Academics and Deputy Head - Campus Life with appointment scheduling, communication, and day-to-day office operations

Manage Scheduling:

Coordinate faculty coverage during absences and support event logistics for academic programs and ceremonies

Support Assessment & Exams:

Aid in the coordination and administration of Literacy/Numeracy assessments and Advanced Placement (AP) exams

Textbook & Resource Management:

Oversee course resource ordering, liaise with suppliers, maintain textbook databases, and ensure timely communication with faculty and families

Event Coordination:

Help plan and support key academic events such as end-of-year award ceremonies

Maintain Records:

Manage data entry, filing systems, and reporting

Contribute to Team Success:

Perform other duties as needed to ensure the smooth operation of the Academic and Campus Life Office

What We're Looking For:



Experience:

1-3 years in a professional office setting; educational experience preferred

Skills:

Proficiency in data management systems, Microsoft Office, and Google Suites

Attributes:

Exceptional organizational and time-management skills are essential. You thrive in fast-paced environments and can juggle multiple projects with ease, even when faced with competing deadlines

Communication Skills:

Your written and oral communication skills are exceptional, allowing you to connect with a wide range of individuals effectively possessing an approachable and collaborative working style

Tech Savvy:

You're comfortable with technology, particularly Google and Microsoft Office applications like Excel and Google Docs

Education / Experience:



1 - 3 years of experience working in a professional office environment Prior experience in an educational setting is advantageous A college diploma in office administration or related field is considered an asset
