Job Description

Office Administration position reports to and receives functional and direct supervision from the Early Years Outreach Manager.



Office Administration is a member of the Department of Social Services Early Years and Childcare Services Family Gatherings and is responsible for providing secretarial, clerical and administrative support in order to ensure that Gahwaijiya:de' Detenatgwa'ta' - Family Gatherings Program clients are assisted in an effective and efficient manner; and is responsible for assisting the Early Years Outreach Manager, Family Gatherings Supervisor and staff in the delivery of a high quality program.



In addition, the Gahwajiya:De'Detenatgwa'Ta' Family Gatherings Program Administration will also be responsible for fostering an environment that encourages teamwork, professionalism, respect and the participation of all staff to continuously improve the effectiveness and efficiency of services.

BASIC QUALIFICATIONS:




Graduate of Community College Diploma in Office Administration;

OR Business Diploma or equivalent, and two (2) years' experience in Office Administration.


High level of computer skills - Microsoft Office including Microsoft Word, Microsoft Excel, Outlook, and Teams Strong organizational, time management and problem-solving skills. Strong interpersonal, verbal and written communication skills.

PURPOSE & SCOPE OF THE POSITION:

KEY

DUTIES & RESPONSIBILITIES:




Technical Functions




Analyzes and tracks all incoming and outgoing mail, memoranda, financial submissions, and reports, and ensures they are distributed to the appropriate personnel. Maintain an inventory of supplies and order as required Maintain an accurate and up to date filing system Maintains list of vendor accounts to ensure lists are current and accurate for distribution to vendors. Type letters, memorandum, reports, presentation materials and other documents. Ensure all invoices are transferred to the finance office for payment. Process financial requests. Assisting in the promotion and delivery of the Family Gatherings programs and activities. Assist Early Years Outreach Manager, Family Gatherings Supervisor and staff in development of PowerPoints, printing and copying. Perform general clerical duties, including telephone operations, greeting children, families and visitors. Assist staff, parents/caregivers in a courteous and helpful manner.

Communications Functions




Acts as a resource to the Family Gatherings Supervisor, Early Years Outreach Manager and program staff regarding administrative support, within parameters of the Six Nations of the Grand River Employment Policy pertaining to confidentiality Compose briefing notes, memos, correspondence, and provide updates as necessary. Maintaining confidentiality and ensuring Personal Health Information Act (PHIPA) and the Personal Information Protection and Electronic Documents Act (PIPEDA) legislation regulations are followed. Maintaining a team approach to resolving such issues, conflicts and problems that may arise in the process of providing support services

Other Functions

- Any other related duties as assigned by the Early Years Outreach Manager which includes, but is not limited to, participation in the Six Nations Emergency Response Plan.



WORKING CONDITIONS:





Work involves mental stress, balancing multiple projects in a workload with a broad ranged focus, constant interaction with partners, community members, staff and relevant agencies.



Subject to deadlines, interruptions and evening/weekend work hours, and the ability to take direction and work effectively and independently.

Must be able to work independently and as a team player within the Six Nations Social Services Department and all other work environments.



Establishing positive, collaborative working relationships and linkages among all service providers within all work environments.
