We call our front desk receptionist as Wellness Advisor as the role is more than administrative tasks. You are part of the client's journey to feeling better and wellness. You are the matchmaker between client to treatment, first by understanding the needs of the client, then educating them the difference between modalities and connecting them to therapy.

Qualifications and Desired Skills:
Must be able to work for at least 10 hours a week, weekday evening and weekend availability
Customer service or sales support experience is an asset
Efficiency and ability to pay attention to detail
Ability to exhibit a positive attitude and work well with both patients and other staff members
Ability to multitask and work collaboratively with the staff members
Demonstrates self-initiative by actively seeking out opportunities to contribute to the team's goals and taking on additional responsibilities when necessary
Excellent communication and hospitality skills
Demonstrates exceptional critical thinking and problem solving skills
Maintains exceptional punctuality by consistently arriving on time for work and meeting deadlines
Ability to speak Chinese (Mandarin/Cantonese) is a plus

Responsibilities:
Serve as a welcoming and supportive first point of contact for clients accessing care from regulated health professionals, including Psychotherapists, Registered Massage Therapists (RMTs), and Naturopathic Doctors.
Provide compassionate, professional customer service while supporting clients navigating a variety of therapeutic and wellness services
Clearly and respectfully guide clients through the centre's offerings, helping them understand services, practitioners, and next steps in care
Support ethical, relationship-based sales by recommending appropriate services aligned with client wellness goals and practitioner care plans
Manage client appointments, bookings, and inquiries efficiently both online and in person
Process client payments accurately (online and in person), including insurance-related transactions, in accordance with clinic policies and privacy standards
Maintain a clean, calm, and organized environment, including reception areas, treatment rooms, bathroom, and laundry
Uphold high standards of cleanliness, hygiene, and safety appropriate for a healthcare and therapeutic setting
Complete administrative tasks with accuracy and attention to detail, including answering phones, responding to emails, and managing client documentation
Demonstrate reliability and punctuality by working scheduled shifts consistently
Communicate clearly and collaborate with practitioners and fellow Wellness Advisors to support seamless client care and daily clinic operations
Supports clinic growth by confidently discussing services, promotions, and practitioner offerings with clients, and encouraging appropriate service bookings.
Assists with client re-engagement and retention efforts by following up on inquiries, inactive clients, and appointment opportunities.
