The Weekend Scheduler & Nursing Administrative Assistant plays a key dual role in supporting the Nursing Department by managing weekend staffing by replacing unplanned absences and providing administrative support across nine houses. This position ensures quality care through effective scheduling and coordination of clerical operations, in alignment with The Meadows' Mission, Standards, and Policies. Occasional weekday coverage may be required.
KEY RESPONSIBILITIES
Coordinate shift scheduling for unplanned absences, manage short-term time off, and ensure adequate staffing coverage while minimizing overtime.
Data entry, records management, filing, typing & support weekday schedulers (i.e., timecard exceptions).
Handle administrative tasks including faxing, scanning, memo creation, and inventory control.
Support weekend admissions, chart maintenance (filing, thinning), and restocking of forms and supplies. Run off-site errands and make deliveries as needed.
Maintain communication boards and submit maintenance requests on behalf of the facility.
Provide weekday backup scheduling and administrative support during staff absences or peak periods.
Assist Department Heads as required.

Proficient in Microsoft Office 365 applications (Word, Excel, Outlook) and other relevant software. Strong customer service orientation with excellent communication and interpersonal skills. Reliable and punctual with a strong attendance record. Strong problem-solving and time management skills; able to prioritize and work independently. Understanding of the importance of confidentiality in healthcare settings. Valid Driver's License and access to a reliable vehicle. Physically able to lift/carry up to 30 lbs., bend, stretch, and walk as required. Transportation of Dangerous Goods training (or willingness to obtain).
WHAT WE'D LOVE YOU TO HAVE
Previous experience scheduling staff in a 24-hour environment, experience working in healthcare
Preferred knowledge of SSC program (Staff Scheduling Care) or similar software
Either a diploma in Medical Office Administration, Administrative Assistance, Business, or Information Technology.
Strong understanding of medical records standards and long-term care procedures.
Alzheimer's and Dementia Care training or experience working with similar demographics
