Position Overview
Reporting to the General Manager, the Warehouse & Technical Associate owns the flow of goods and parts: receiving, inventory accuracy, special orders, and technical counter support. You'll help customers identify the right parts for wood and gas stoves/fireplaces, assist the sales floor as needed, and occasionally support our technicians on installations or service in the field. This position will also assist with phone call intakes & triage.
Key Responsibilities
Receiving: Organizing customer orders and stock items using our point of sales systems to track purchase orders and work orders. Label, stage and shelve items correctly.
Special Orders: Quote, place, and track customer specific parts and appliances; manage deposits, ETAs, backorders, and customer updates through to pickup, delivery or installation by our technicians.
Parts Identification & Counter Support: Use manuals, exploded diagrams, serial numbers, and vendor portals to match exact parts; confirm compatibility and code considerations; build pick lists and invoices.
Inventory Control: Maintain min/max, run cycle counts, reconcile variances, prepare RMAs/returns/credits, and reduce dead stock.
Purchasing Support: Recommend replenishment, create POs, follow up with vendors on lead times, and manage substitutions when supply is constrained.
Warehouse Standards: Keep aisles safe and organized, maintain racks, signage, and bin locations; handle waste/disposal safely.
Showroom Assist: Greet customers, support sales with product basics, restock displays, and help with merchandising.
Front Desk Phone Support: Receives and filters phone calls.
Field Assist (Occasional): Support technicians with load outs, site prep/cleanup, materials runs, and safe handling; represent KWS professionally on customer sites.
Logistics: Pick/pack/ship small parcels and schedule local deliveries as needed.
Assists with other tasks as needed.
Qualifications
1+ year in a parts counter, trades supply, warehouse, or service/logistics role (is a plus)
Mechanical aptitude and comfort reading manuals, spec sheets, and exploded diagrams.
Clear communication with customers, vendors, and technicians; calm problem-solving under time pressure.
Reliability, organization, and a safety-first mindset.
Ability to lift/move
up to 50 lb
and operate basic shop tools;
forklift certificate
is a plus (we can train/certify).
Valid
Class 5
driver's licence and a clean driving record
Organized, detail oriented, and comfortable in Microsoft/Google and POS tools.
A team mindset and willingness to help where needed.
