Full Time 12-month Contract



Salary Range $43,935 - $56,876

Position Summary:



Reporting to the Director of Community Services, the Volunteer and Student Coordinator (VSC) is responsible for managing the volunteer and student placements programs delivery and administration which includes: needs assessment, screening, interviewing, placement, training, orientation, retention, coaching and recognition of Volunteers and Students in all programs. In addition to working alongside clinical and administrative stakeholders, the Volunteer and Student Coordinator will work closely with the persons responsible for the cooperative education program and respective School Boards, colleges and university programs within the community. Alzheimer Society Peel (ASP) strives to be the Partner of Choice for schools looking for student placements.

Key Accountabilities



? Assesses the need for volunteers/students to enhance program and service delivery across ASP

? Develops and implements effective strategies to recruit the right volunteers/students with the right skills

? Researches best practices, develops and implements an intake and interview protocol screening process for potential volunteers/students, to ensure the best match between the skills, qualification, and interests of the volunteers/students and the needs of ASP

? Writes the position descriptions in consultation with other staff as appropriate

? On-boards volunteers/students to increase their understanding of ASP, its clients, its services and their own roles and responsibilities

? Work with other staff to organize regular trainings as needed

? Plans and implements formal and informal recognition activities to recognize the contribution of volunteers/students to ASP

? Support the administration of an annual volunteer survey and conduct ongoing evaluations of the programs and services delivered. Implements improvements as necessary

? Build and maintain positive, trusting relationships cross-functionally within ASP, volunteer organizations, school placements and community partners. Program

Administration



? Create and/or manage volunteer schedules, match volunteers with roles based on skills, interest, and availability, ensure coverage for special events, programs, and day-to-day operations.

? Ensures that volunteer/student check-in procedures are followed and that records of hours are maintained according to established procedures

? Process, organize and maintain volunteer/student paperwork via digital filing system

? Track all hours and create reports, scheduled and ad hoc as requested

? Update and maintain volunteer document templates, handbooks, or training materials

? Preparation of letters confirming volunteer hours

? Contributes to the preparation of the annual report by providing information/statistics on the contributions made by the program

? Maintain the volunteer/student data-base ensuring an accurate and complete trail of supporting documentation for all activities

? Administers and monitors expenditures for the volunteer program in accordance with the approved budget

Program Optimization and Outreach (Business Development)



? Monitor industry trends and develop leading edge practices and programs to enhance volunteer and student placement programs

? Work closely with program staff to understand the volunteer needs, attend team meetings, and contribute to planning efforts to represent ASP at community events, and fairs

? Support the assessment/evaluation of a database/system to meet the current and future needs of the program

? Participate in continuous improvement and other projects that will enhance the development and progress of the department

? Maintain performance metrics to monitor/identify opportunities to improve upon current processes, systems and implement change as appropriate when possible

? Contribute to the development and implementation of goals and objectives for the volunteer program which reflect the mission of ASP

? Accountable for meeting key performance indicators and targets as defined for the program.

Qualifications/Skills



? Minimum of three to four years related experience in Administrative and/or Volunteer Management, and/ or Human Resources or a related field required (preferably in a healthcare setting).

? Post-secondary Certificate in Volunteer or Non-Profit Management, or related post-secondary education/course work in a field related to the volunteer sector

? A vehicle is necessary for this role, or proven demonstration of using alternative transportation.

? Must be available to work occasional evenings or weekends at special events and meetings

? A minimum of 2 days in office, may be more depending on need.

? Strong communication and relationship building skills

? Flexibility and ability to effectively manage multiple tasks with solid planning skills and use of good judgment.

? Ability to prioritize time, work, and projects efficiently, working well under pressure and with minimal supervision

? An understanding of and commitment to confidentiality including demonstrated ability handling sensitive confidential information in all formats
