King Animal Hospital is a 60,000 square foot Equine & Small Animal Specialty Referral and Emergency Services Hospital located in King City, Ontario. We are seeking a highly organized, detail-oriented
Veterinary Pharmacy Technician
to take ownership of day-to-day pharmacy operations with a strong focus on
controlled substances, Cubex management (8 units), and accurate medication workflows
, while also providing hands-on support with
receiving and stocking
to support our inventory team. This is a
non-supervisory role
focused on managing pharmacy processes, systems, and controlled drug handling rather than direct reports.
Key Responsibilities
1. Pharmacy Operations
Label medications for inpatients and outpatients according to veterinary prescriptions and hospital protocols.
Ensure all products are correctly labelled, stored, and handled in accordance with safety regulations, manufacturer guidelines, and hospital policies.
Maintain clean, organized, and compliant pharmacy workspaces.
Support general pharmacy stock (pharmaceuticals, fluids, syringes, and common consumables), including restocking, rotating stock, and monitoring expiry dates.
Use
EzyVet
and other hospital systems to support accurate medication, billing, and inventory records.
2. Controlled Substances & Cubex Management
Receive narcotics and other controlled substances in accordance with hospital policy and applicable legislation.
Restock the
downstairs Cubex
daily, then backfill all Cubex units (total of 8) with required narcotics and other medications each day and as needed.
Perform controlled drug counts for each Cubex
weekly and multiple times per week
as required, ensuring accuracy and complete documentation.
Monitor Cubex activity and exception reports to identify potential discrepancies, missing documentation, or irregular usage patterns.
Investigate and help
resolve discrepancies
in controlled drug counts in collaboration with pharmacy leadership, the Inventory & Logistics team, and attending veterinarians.
Maintain accurate, auditable records for controlled drugs, including receipts, dispensing, wastage, returns, and adjustments.
3. Cubex System Administration & User Support
Manage routine Cubex user updates (e.g., adding/removing users, updating access) under established approval processes.
Troubleshoot basic system and
fingerprint scanning issues
and coordinate with vendors/IT for more complex problems.
Assist with medication database updates in Cubex (drug additions/changes, par levels, configurations) as directed.
Communicate system updates, known issues, and workflow changes to affected teams and provide basic orientation to new users.
4. Inventory Receiving & Stocking Support
Working under the direction of the
Inventory & Logistics Coordinator
and
Inventory Specialist (Level 3)
, you will:
Assist with
receiving, inspecting, and documenting incoming shipments
of pharmaceuticals, medical supplies, and related items.
Physically handle incoming shipments: verify product identity, check quantities against packing slips, and flag any discrepancies or damage.
Help route supplies to the appropriate departments or storage areas and assist with putting stock away in an organized and logical manner.
Support regular
cycle counts
and stock audits, particularly for pharmacy and high-usage clinical items, helping to identify and report variances.
Ensure products are stored safely and efficiently to optimize space, facilitate easy access, and maintain proper environmental conditions (e.g., refrigeration).
Notify appropriate personnel of backorders or stock issues identified during stocking and assist in identifying suitable alternatives where possible.
Note: Strategic inventory decisions, vendor negotiations, and overall supply chain management remain the responsibility of the Inventory & Logistics team. This role provides
operational and physical support
to keep things moving smoothly day-to-day.
5. Collaboration, Safety & Continuous Improvement
Work closely with ER/ICU, Surgery, Internal Medicine, Anesthesia, and other departments to prioritize urgent medication and supply needs.
Participate in medication safety and inventory improvement initiatives, including reporting and helping to analyze near-misses or process issues.
Contribute to the development and maintenance of SOPs, checklists, and training materials related to pharmacy, Cubex, and receiving/stocking.
Promote a culture of safety, accountability, teamwork, and respectful communication in all interactions.
Requirements
Education & Experience
Minimum 2 years of experience in a pharmacy, veterinary hospital, or similar environment with responsibilities involving medications, inventory, or controlled substances.
Experience with inventory management and/or automated dispensing cabinets (e.g., Cubex) is highly desired.
Knowledge of veterinary medical supplies, pharmaceuticals, and equipment is an asset.
RVT designation and/or Pharmacy Technician training is required.
Skills & Competencies
Exceptional attention to detail and accuracy--particularly with controlled drug counts, reconciliation, and documentation.
Strong organizational and multi-tasking skills; able to work effectively in a busy, 24/7 referral and emergency hospital.
Comfortable using computer systems; experience with
EzyVet
and
Cubex
is highly desirable.
Proficient with Microsoft Office (especially Excel) for basic tracking and reporting.
Excellent communication and interpersonal skills to collaborate with internal teams and external partners.
Demonstrated problem-solving skills and the ability to think critically and propose practical solutions.
Flexibility to adapt to changing priorities, workflows, and hospital needs.
Physical ability to
lift up to 50 lbs
and to move boxes, supplies, and equipment as required: able to be on your feet for extended periods.
