Job Overview



The Venue Rental Coordinator provides exceptional customer service and is responsible for the successful execution of Gibsons Public Market's rentals program. These venues include the Coastal Room, Atrium, Community Kitchen, Commercial Kitchen, and occasionally, the Parking Lot. Rentals at the Market take many forms, from small meetings to large weddings. The Venue Rental Coordinator supports the Manager, Social Enterprise & Operations, prospecting and marketing GPM's rental venues, building client and community relationships, gathering feedback, tracking revenue, and updating policies and procedures. The role also supports greater organizational needs as outlined below.

RESPONSIBILITIES VENUE RENTAL COORDINATION



Coordinate venue rentals from start to finish for GPM's 4 rentals spaces, ensuring renters have an exceptional experience. This includes:

? Responding to rental inquiries promptly, generally within 1 business day

? Negotiate rental rates, at times with the support of management

? Issuing rental contracts and invoices

? Maintain rental database and calendar

? Liaise with renters, caterers, and at times contractors or event planners, to ensure the

successful use of our venue.

? At times, liaise with GCBS and BlueAct staff and contractors when venue rentals may

conflict with building operations, events, or staff uses of rental spaces.

? Provide on-site support during most rentals.

? Ensure renters are aware and compliant with rental policies and safety requirements.

? When necessary, ensure renters have appropriate permits in place and are in compliance

with government regulations.

? Collecting feedback on the clients rental experience

? Ensure rental spaces are clean and organized at all times

? Oversee rental equipment inventory

? Identify and escalate any problems or conflicts related to rentals to management

? Support the Manager, Social Enterprise & Operations in prospecting potential renters, building relationships, and promoting Gibsons Public Market as a rental venue.

? Create and update marketing and communications content related to venue rentals

? Identify and escalate any problems or conflicts related to rentals to management

GENERAL SUPPORT & CUSTOMER SERVICE (as required)



As a small community non-profit organization, all employees wear many hats. While each employee has clear responsibilities, we also expect that employees are willing to be adaptable and support the greater needs of the organization as required. The venue rental coordinator currently supports:

? Coordinate the Art @ the Market Program, liaising with artists to arrange the display of their artwork on the walls of the Market.

? the execution of larger organizational events and fundraisers

? performs light maintenance and hands-on tasks as needed

? Staff the public-facing customer service desk, generally 1 day a week. This provides critical support to the organization and allows team members to interact with the community and play a more holistic role in the overall operation of the organization.

Customer service tasks include

:

Working at the customer service desk for the building (generally 1 day a week) Opening and closing the building Monitoring the tidiness of the building and addressing any concerns Answering and directing phone calls and in-person inquiries Facilitating daily sales, memberships, and aquarium admissions

QUALIFICATIONS & SKILLS



? Education or training in business, event production, administration, or related field

? 1-2 years of work experience in a coordination role

? Experience working in google suites

? Exceptional interpersonal skills, i.e. you are approachable, friendly, and enjoy talking to anyone

? Excellent verbal and written English communication skills

? Observant, detail-oriented, and a great multi-tasker

? Interest in supporting meaningful community work

? Team thinker, confident in asking questions and doing basic problem-solving

? Experienced and intuitive with computers

? Comfortable doing basic math when discussing rates and ensure accuracy of quotes and invoices

? Cash handling, point of sales systems (i.e. Square), balancing day sales

? Ability to follow directions and work independently

? Ability to be flexible and assist with in-house events and programs as needed

? Other duties may be assigned as required

ASSETS (helpful, but not required)



? Knowledge of local community

? Basic knowledge of sound equipment

? Experience creating content for Instagram, Facebook, and other social media platforms

? Experience with Canva or similar layout design programs

? Experience with Wordpress or doing basic template based website updates

? Experience coordinating community events and programs

? Familiarity with food service, catering, and/or kitchen operations

? A vehicle or drivers license

WORKING CONDITIONS



Due to the nature of the role, a flexible schedule is necessary, especially the ability to work shifts that go into the evening, and sometimes night, or fall on a weekend. We strive to ensure employees have a work life balance that meets both their needs and the needs of the organization, and work collaboratively with employees to create their schedules.

remote

? Weekend and evening work will be required

? Ability to lift and move tables, chairs, speakers and other equipment

? Ability and willingness to occasionally do light cleaning and physical tasks

? Ability to work on your feet for extended periods

Job Types: Full-time, Permanent

Pay: $42,900.00-$48,750.00 per year
