Role Description



Reporting to the Director of Supply Chain, the

Vendor Coordinator

is responsible for managing and coordinating all vendor relationships related to materials, design consultants, and sub-trade contractors for Modus modular manufacturing and construction operations. This role ensures that all vendors are properly qualified, contracted, and evaluated, and that procurement aligns with company timelines, budgets, and quality expectations. The Vendor Coordinator works closely with project management, design, procurement, manufacturing, and site operations teams to support the successful delivery of modular construction projects.

Responsibilities



Vendor Management



Maintain and manage a comprehensive database of approved material suppliers, design consultants, and sub-trades.

Procurement Coordination



Collaborate with internal stakeholders to define procurement needs and timelines for each project phase. Support the tendering and selection process for design consultants and sub-trade contractors. Ensure timely issuance of RFQs/RFPs and analyze bid responses for cost, compliance, and scope alignment.

System & Data Management



Utilize vendor management software to track contracts, performance metrics, and compliance documentation. Maintain accurate and up-to-date records related to vendor activity, contract status, and project involvement. Generate regular reports on vendor performance, tendering outcomes, and procurement KPIs.

Relationship Building



Foster strong, professional relationships with key suppliers, consultants, and trades. Act as the primary liaison between Modus and external vendors, resolving issues and aligning expectations. Support contract negotiations in coordination with project management and legal teams.

Continuous Improvement



Identify and implement process improvements to enhance procurement efficiency and vendor performance. Stay current with market trends in construction materials, trade availability, and vendor technologies. Recommend improvements to the vendor selection and evaluation processes based on industry best practices. Facilitate onboarding, prequalification, and documentation tracking for all vendors. Coordinate performance evaluations and feedback processes to ensure ongoing vendor quality and compliance.

Qualifications & Experience



Post-secondary education in construction management, business administration, supply chain, or a related field. 3-5 years of experience in vendor coordination, procurement, or contract administration in the construction or manufacturing sectors. Strong knowledge of vendor management systems, tendering processes, and contract lifecycle management. Familiarity with modular construction methods and industry sub-trades is preferred. Excellent organizational, communication, and negotiation skills. Proficient in MS Office Suite and procurement software platforms. Previous experience working in modular or off-site construction environments, with an understanding of the unique procurement, logistics, and vendor coordination challenges involved is an asset. Demonstrated application of LEAN manufacturing or procurement principles to optimize vendor relationships and reduce waste in the supply chain, is an asset. Hands-on experience with vendor management platforms such as SAP Ariba, Procore, Buildertrend, or similar tools used in the construction industry. Knowledge of standard contract types (e.g., CCDC), scopes of work, insurance requirements, and legal considerations when engaging sub-trades and consultants. Ability to create and interpret vendor performance dashboards, procurement KPIs, cost comparisons, and forecasting reports. Proven ability to run RFP processes, analyze bids, and lead negotiations with consultants and trade contractors for optimal value. Ability to manage multiple stakeholders, resolve conflicts, and maintain strong working relationships with both internal teams and external vendors. Familiarity coordinating across departments including design, estimating, production, and field operations to align vendor activity with project goals.
