The Position:



The Unit Assistant is responsible for supporting the daily operations of the long-term care home unit by performing a variety of administrative, clerical, and resident-support tasks. This includes maintaining accurate resident records, assisting with documentation, managing unit supplies, and coordinating communication between Team Members, residents, and families. The Unit Assistant ensures the timely distribution of information and works in alignment with applicable policies, procedures, and standards. This role contributes to a safe and welcoming environment, promoting the comfort, dignity, and well-being of residents while supporting the care team in delivering a resident-first approach.




KEY ACCOUNTABILITIES



Reception/ Telephone Chart Maintenance Clerical Duties Cleaning and Portering Position Related activities like ordering and stocking supplies coordinating repairs and track equipment etc. Health & Safety/ Regulatory Compliance


In delivering these accountabilities, the Assistant Manager, Support Services, will:




Be a champion of a resident-first culture Maintain accurate, confidential resident records (both paper and electronic), in compliance with privacy legislation (e.g., HIPAA, PHIPA). Serve as the first point of contact for visitors, family members, and external service providers at the unit level. Answer and direct telephone calls, messages, and inquiries promptly and professionally. Relay critical information between residents, nursing team, and Team Members. Assist with coordination of resident appointments (medical, transfers etc.). Monitor supply inventories for the unit and submit replenishment requests. Help with clerical preparation for audits, inspections, or quality improvement initiatives. Follow all policies, procedures and guidelines including infection prevention and control protocols. Adhere to all safety and emergency procedures (fire safety, evacuation, outbreak response). Ensure resident personal health information is kept secure and is only shared with authorized individuals. Participate in mandatory training when required Greet residents and visitors warmly, contributing to a welcoming and safe environment. Provide basic non-clinical assistance to residents (e.g., delivering messages, helping with forms). Direct families to the appropriate Team Member(s) for clinical or care-related concerns. Participate actively in team huddles, care team meetings, and training sessions. Keep up to date with changes in LTC policies, procedures, and regulations.



WHAT YOU WILL BRING TO THE POSITION & ORGANIZATION




Education:


Medical Administrative Assistant diploma



Experience:


No previous experience Intermediate keyboarding skills and intermediate computer skills Experience in an office environment and in environmental services is an asset. Experience in a health-care sector is an asset.
