The internship program trains and mentors University of Alberta students under the OSO Director's supervision.The OSO is responsible for providing undergraduate students, graduate students, medical residents, postdoctoral fellows, applicants, student groups and other members of the University community with advice and assistance on disputes, appeals, petitions, and grievances on academic or non-academic matters. The OSO works to ensure fairness and due process, and is responsible for information and referral on University policy, procedures, and protocols related to the academic and personal well-being of all students. The OSO provides educational outreach on conflict resolution to all students, student groups, and faculty.The Ombuds Intern will work with undergraduate students on issues related to academic problems, academic offenses, and student conflicts (including residence disputes). The Ombuds Intern will upon request attend meetings, investigations and appeals as an impartial advisor for a fair process.Duties and ResponsibilitiesProvide information, advice, assistance, or referrals on any inquiries for assistance by members of the University community, with guidance from the permanent OSO staff.

  • Facilitate communication between students and University staff who have the responsibility and authority to resolve specific problems.
  • Adhere to the professional Standards of Practice of the Association of Canadian College and University Ombudspersons.
  • Ensure strict confidentiality of all personal information and undertake no course of action on the clients' behalf without their express consent, except to the extent required by law.
  • Follow OSO protocol on note-taking, electronic records, and statistical data safekeeping.
  • Assist students impartially when meeting with Professors, Faculty and Department Academic Advisors, Associate Deans; Office of the Dean of Students; various University student services; Registrar's Office; Information and Compliance Officer, University Governance; Student Conduct and Accountability; Helping Individuals At Risk; Office of Safe Disclosure and Human Rights; and University of Alberta Protective Services.
  • Bring to the OSO Director's attention any systemic and recurring problems for students.
  • Attend all OSO staff meetings.
  • Work on staff projects related to conflict resolution, data collection, research, etc.
  • Participate in Ombuds' Fairness Day and complete an intern project.
  • Complete all components of the internship-training program.
  • Adhere to safe work practices as prescribed by the University.
Skills and Qualifications
  • Senior University of Alberta undergraduate student
  • Demonstrate maturity, diplomacy, respect and tact in working to resolve conflicts between students and/or University personnel
  • Protect confidentiality when working with clients
  • Handle matters impartially and fairly with staff, students and the general public
  • Sensitive to student diversity and promote inclusiveness
  • Fundamental knowledge of University policies and procedures
  • Experience with dispute resolution, mediation, or conflict management will be considered an asset (training will be provided)
  • Demonstrate excellent English speaking, reading and writing skills
  • Fluency in French is an important asset; note other language proficiencies
  • Punctual, trustworthy and follow strict deadlines
  • Independent caseworker and collaborative team worker
  • Commitment to completing all requirements of an internship program
  • Comfortable working in a hybrid environment (remote and in-person)
