We are seeking a highly organized and detail-oriented Transaction Coordinator to join our dynamic team within the Retail division. This role is crucial to supporting our brokers and ensuring the smooth and efficient execution of commercial real estate transactions. The Transaction Coordinator will be responsible for managing the administrative aspects of the deal process, from initial listing to closing, allowing our brokers to focus on client relationships and strategic business development.
Key Responsibilities:Transaction Management:
o Provide comprehensive administrative support to brokers and Transaction Managers throughout the transaction lifecycle, including listings, offers, negotiations, and closings.
o Support tracking lease information, property values, capital expenditures, rental rates, and real estate assignments
o Assist with managing local transaction implementation.
o Prepare and distribute transaction-related documents, including but not limited to: listing agreements, offers, counteroffers, amendments, lease agreements, purchase and sale agreements, and closing statements.
o Coordinate and schedule meetings, inspections, and closings.
o Track and manage critical deadlines and milestones within each transaction.
o Proactively identify and address potential issues or delays in the transaction process.
o Ensure compliance with CBRE policies, procedures, and industry regulations.
o Prepare market reports
o Source comparable lease transaction informationCommunication & Coordination:
o Serve as a primary point of contact for internal and external stakeholders, including clients, landlords, tenants, attorneys, title companies, and other vendors.
o Communicate effectively and professionally with all parties involved in the transaction.
o Provide regular updates to brokers and clients on the status of transactions.Administrative Support:
o Assist with general administrative tasks, such as answering phones, managing emails, and preparing correspondence.
o Maintain organized and efficient office systems.
o Provide support for special projects as needed.
Qualifications:
o Bachelor's Degree preferred with up to 3 years of relevant experience. In lieu of a degree, a combination of experience and education will be considered.
o Ability to use existing procedures to solve standard problems.
o Experience with analyzing information and standard practices to make judgments.
o In-depth knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc.
o Intermediate math skills. Ability to calculate difficult figures such as percentages, fractions, and other financial-related calculations.
o Exceptional organizational and time management skills with the ability to prioritize and manage multiple tasks simultaneously.
o Strong attention to detail and accuracy.
o Excellent written and verbal communication skills.
o Ability to work independently and as part of a team.
o Strong problem-solving skills.
o Ability to maintain confidentiality and handle sensitive information.
