Job Summary
UBC has embarked on a multi-year journey to transform its academic and administrative support processes and system environments for the entire UBC community. In November 2020, UBC successfully went live with its new HR and Finance implementation of Workday. The Integrated Renewal Program (IRP) is now focused on the journey to renew the Student information ecosystem, anchored by the implementation of Workday Student.
The Integrated Renewal Program\xe2\x80\x94Student (IRP Student) vision is to transform the way UBC supports learning and research, and how UBC works, to create a cohesive, integrated, and enriched experience for students, staff, and faculty. This implementation will result in superior support for UBC students, a better user experience, a new set of tools, a new way of working, and improved reporting for informed decision-making. IRP Student will leverage the industry-leading cloud enterprise solution Workday to replace our current core Student administration systems with a new integrated, user friendly, mobile-enabled platform. The Training Specialist position will report to the Training Lead, Transformation and Change (TCM) The Training Specialist will develop and manage delivery of user training that supports the business transformation with learning tactics to drive faster adoption, greater utilization and higher proficiency of new systems and processes. This will include: designing, developing and implementing high-quality learning materials and courses (blended learning incorporating digital, self-directed, and face-to-face); working with teams of business and technical experts to support development of learning objectives and information technology/systems; capturing key learning outcomes and lessons learned, and reporting on results.
Organizational Status
The Training Specialist reports to the Training Lead, Transformation and Change. Overall strategic direction is provided by the Associate Director, Transformation and Change.
Manages and provides functional guidance to contractors/vendors as required. Works routinely with resources in the Transformation and Change (TCM) team and the IRP Student Solution, Ecosystem, Security and Testing Delivery project teams including project managers, team leads, business analysts, functional experts and others. Works closely with a broad range of stakeholders, including management and staff of Enrolment Services and UBC IT, academic and administrative partners from academic units, and external entities including vendors, regulatory agencies and partner institutions.
Work Performed
- Works with IRP Student and TCM program teams, vendors, and the broader learning community to plan, develop and deliver end user training programs
- Responsible for the planning, development and implementation of IRP Student end user training courses for multiple streams of the IRP Student Solution.
- Manages the development of the Workday end user training tenant (system) including planning and managing information technology resources to support data set up and maintenance, developing processes for use and maintenance of training tenant and managing TCM human and technology resources as required to support training tenant use and updates
- Manages the development of training assets such as learner curriculum, online and digital learning modules, and performance management resource material including development of administrative policies and procedures for asset use and maintenance by the TCM training and other related IRP Student teams.
- Provides program management support to ensure the effective and efficient delivery of a portfolio of IRP Student end user training, within budget and according to established IRP policies and procedures.
- Directs, supervises and evaluates work of Co-Op/Student resources and assigns work as required to complete deliverables
- Curates and/or modifies existing content and various source materials for different learning styles.
- - Captures and reports on key learning outcomes and lessons learned.
- Initiates innovative and creative solutions to meet the learning and program delivery goals and objectives of IRP Student.
- Other related duties may be required.
Consequence of Error/Judgement
The Integrated Renewal Program Student is intended to transform and improve the ways students, staff and faculty interact and work, modernize our student system ecosystem, and enable the university to achieve its goal of becoming one the world\'s leading universities.
Decisions and actions taken by the Training Specialist will have a direct impact on how efficiently and effectively new business processes and systems are adopted by the user community. Errors in judgment, poor analysis, or failure to act decisively could negatively impact the IRP Student program and have a detrimental effect and adversely impact the university community, affecting up to tens of thousands of students, faculty and staff, and could cost hundreds of thousands of dollars in lost productivity, funding and revenue.
Supervision Received
The Training Specialist works under the general direction of the Training Lead, Transformation and Change. Must be able to work independently as well as contribute actively and collaborate openly as a team member.
Supervision Given
Manages Co-Op/Student resources and may supervise other related professional staff and/or contractors/vendors. Provides mentoring and coaching to staff and managers on end user training as well as provides leadership and education on demonstrated areas of expertise. May supervise, advise, mentor or coach on training related work of other TCM team member staff on projects.
Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum of three years of related experience, or the equivalent combination of education and experience.
Preferred Qualifications
Experience building and delivering end user training courses for large-scale enterprise software programs (at least one full cycle implementation).
Experience in developing and delivering online end user training courses and other digital learning modules.
Experience designing, planning and implementing end user training curriculum
Project coordination/management experience with strong organizational and time management skills are essential.
Strong attention to detail and ability to work effectively under pressure to meet multiple priorities and tight deadlines.
Ability to work in a team environment or independently under minimal direction, take initiative, and exercise sound judgment, tact and discretion.
Ability to effectively communicate and work collaboratively with a multi-disciplinary team and a wide variety of stakeholders.
Excellent oral and written communication skills - fluency in English is required.
Demonstrated ability using Microsoft Office Suite.
Strong working knowledge of the higher education industry.
Knowledge of online and digital education software programs and tools (Canvas, UPK, Assima, Articulate, Captivate, Brainshark, WalkMe)
Experience leading and delivering training programs for Workday implementations.
