Join the Fleet and Facilities branch as a Training and People Support Clerk! Reporting to the Supervisor of Learning Solutions and Program Integration, you will coordinate and support specific OH&S, Enviso, Corporate and technical training to ensure compliance with established internal and legislated requirements.
Along with providing general administration support to the Workforce Development team, you will utilize the Corporate Learning Management System (LMS) to record training data and manage the physical records related to training for the Fleet & Facility Services branch. In this role you will act as a conduit to help support people leaders within the branch including booking interviews, liaising with recruitment and completing position change workbooks.
What will you do?

  • Collaborate with Fleet Safety, OH&S, and Enviso to plan, support, and execute training sessions
  • Liaise with the branch sections to audit existing training records; identify and follow up on missing or incomplete records
  • Ensure training records are appropriately entered into the LMS and physically stored in adherence to FOIP requirements
  • Monitor training expiry reports and proactively send out reminders; communicate with employees and/or leadership staff to support compliance
  • Record, maintain and monitor data in various formats including Google calendars and the Corporate LMS
  • Process registrations and/or cancellations with external vendors, follow up on training records
  • Support departmental training sessions including: room and equipment set-up/clean up, set up of preparation of course material, attendance sheets, and evaluation forms
  • Process payments using SAP and tracking all relevant expenditures for the Workforce Development area
  • Maintain and update training catalog and matrix
  • Complete position change workbooks to ensure that the information associated with the position is accurate and up-to-date.
  • Perform other related duties as required
Qualifications
  • Completion of the twelfth (12th) school grade including business subjects related to word and information processing or completion of an appropriate certificate program from an approved business school/college, supplemented by training in basic microcomputer applications
  • Minimum of 2 years experience in an administrative support role required
Skills required for success:
  • Demonstrated advanced proficiency Google tools with the ability to adapt quickly to various computer programs
  • Experience with records management and a strong understanding of FOIP(POPA & ATIA) regulations
  • Excellent verbal and written communication abilities including strong grammar skills
  • Previous experience in a training environment preferred
  • Knowledge of Occupational Health & Safety standards related to an operational environment
  • Strategic thinking with the ability to coordinate multiple events
  • Strong customer service focus and decision making skills
  • Ability to work independently
  • Demonstrated ability to multi-task and quickly adapt to changing priorities

Conditions of Employment:
  • Candidates are required to hold a valid Alberta Class 5 driver's license (or provincial equivalent) or higher. Candidates will be required to arrange their own transportation and where appropriate will be reimbursed in accordance with City of Edmonton policy. This may require the candidate to obtain business use auto insurance
Work Environment:
  • Note: This position may be eligible for a hybrid work arrangement with the flexibility to work from both home and the worksite as per the Letter of Understanding between the City of Edmonton and Civic Service Union 52.
  • The weekly hours of work for this position are currently under review and may change at a future time. Any changes will be made in accordance with the City of Edmonton/Civic Service Union 52 collective agreement and the incumbent will be notified in advance.

Salary Range: $25.864 - $32.117 (Hourly); $45,565.900 - $56,582.120 (Annually)
