About the Role



ffabb is a Vancouver-based furniture studio specializing in made-to-order upholstered pieces for designers, architects, and homeowners across North America.
We're looking for a part-time Trade and Studio Coordinator to support our team in day-to-day client communication, production tracking, and administrative workflows. There is a possibility for this position to turn to full time work.

This role is ideal for someone who thrives in a creative, fast-paced environment and enjoys the balance of organization, communication, and attention to detail. You'll work closely with our Director and Production Manager to ensure each project runs smoothly from quote to delivery, Most importantly, we're looking for someone who is self-directed and highly motivated in their work.

Key Responsibilities



Welcome guests into the showroom, assist with furniture and fabric inquiries, and support sales conversations. Coordinate and prepare for client appointments; greet walk-ins and ensure a professional, welcoming environment. Take notes during client meetings or check-measures led by Director or Production Manager. Maintain showroom presentation -- cleaning, styling, and organizing furniture, fabric samples, and displays. Receive and organize incoming emails; respond to day-to-day client and trade communications. Prepare and send estimates, quotes, and invoices for furniture and drapery using ffabb templates. Track client approvals, deposits, and delivery timelines. Handle follow-up emails for payments, delivery coordination, and fabric confirmations. Process and onboard new trade accounts, ensuring accurate records of all partners. Manage sample requests, fabric CFAs, and shipping of cuttings from the ffabb library. Coordinate incoming and outgoing deliveries and pickups with carriers. Prepare packing lists, bills of lading, and customs paperwork drafts. Communicate tracking details and delivery confirmations to clients and designers.

Qualifications



2-4 years of experience in operations, sales coordination, or project admin (preferably in furniture, interiors, or design industries). Excellent English written communication and organizational skills. Proficiency in Google Workspace, Monday, QuickBooks, and Shopify (or similar tools). Strong attention to detail and ability to manage multiple projects at once. A proactive, resourceful approach -- comfortable taking initiative and following through.

Bonus Skills



Experience in client-facing design or trade environments. Familiarity with upholstery, fabrics, or custom manufacturing. Confidence drafting clear, polished client emails that reflect brand tone.

Job Type: Part-time

Pay: $25.00-$30.00 per hour

Expected hours: 20 - 24 per week
