Location: Markham

Summary

The Estimating Clerk is responsible for the broad outcomes and help ensure timely project delivery by drafting and formalizing subcontracts within deadlines. Review claims for accuracy, track and submit them timely to enhance chances of acceptance. Reporting to Manager of Estimating.

As an Estimating Clerk, You Will

Responsible for the following broad outcomes:

Subcontracts and Purchase orders

  • Follow up until the document is executed properly and returned with all necessary supplementary documentation including insurance and WSIB clearance.
  • File the packages and supplementary documents as per protocol on Teams and Dilitrust and circulate to various stakeholders.
Tendering and prequalification
  • Download tender documents, specifications and drawings from the MTO and Regional websites, enter on the Master tender list and circulate
  • Update Master tender list with bid lists from other divisions
  • Check online tender publishing websites for tenders that have been called
  • Track tender results and publish via Bid Manager as necessary
  • Ordering bonds and insurance on an as needed basis
Office Management/Administration
  • Receive and direct all Brennan calls
  • Monitor the door and greet visitors and vendors (CINTAS, Shred-It, Staples etc.)
  • Keep track of and order office and kitchen supplies for head office when needed and requested
  • Collect and circulate incoming and outgoing mail
What You Will Bring?
  • Post-secondary college diploma in business administration or other related coursework
  • Over 2 years\xe2\x80\x99 relevant administrative experience in a fast paced professional setting
  • Proficiency MS Office Suite of applications, particularly Microsoft Word or Excel
  • Time and priority management with ability to multitask and achieve deadlines in a fast paced environment
  • Attention to detail and accuracy while reviewing tenders, claims etc. and entering data, etc.
  • Strong follow up skills and ability to get information from various divisions and stakeholders in a timely manner
  • Excellent verbal and written communication skills while interacting with different divisions and external stakeholders like clients, subcontractors etc.
