ABOUT THE JOB:

We are currently seeking qualified candidates for a Tenant/Maintenance Coordinator role, reporting to a Property Manager. The Tenant/Maintenance Coordinator supports the activities related to tenants' requirements. In this capacity the role will provide administrative support to Management.

RESPONSIBILITIES:

On a day-to-day basis, you will be responsible for:

Maintaining and tracking service and maintenance requests including coordinating access and troubleshooting minor service tickets. Verification of invoices and backup for accuracy. Focus on maintaining and improving existing and new vendor relationships. Supporting team with preparation for move-ins, including upload of leases, tenant information and move-in documentation in the system and the set-up of keys, key releases and welcome packages. Supporting team with preparing documentation packages relating to move-outs, including notices, inspection forms, deposit refunds and close-out communications. Administrative support for the Team including responding to calls, enquiries, organizing files - both digital and hard copy - and preparing reports. Maintaining an organized scheduling and tracking system to ensure all maintenance requests are completed in a timely manner and in the order by which they were received or by level of urgency. Deliver services in a professional, prompt and courteous manner at all times when dealing with residents and third-party contractors in the scheduling and maintenance of services.

QUALIFICATIONS:

To succeed, candidates must possess the following combination of education, experience and skills:

Completion of post-secondary education 3+ years of progressive work experience in a relevant field Experience in the hospitality or real estate sectors would be highly desirable Superior communication skills Excellent organizational and multi-tasking skills with the ability to deliver high quality results while working under multiple deadlines Availability to work evenings/weekends/holidays on occasion. Must be comfortable around domestic animals/pets High degree of proficiency with web-based tools and applications including Microsoft Office (Word, Excel and PowerPoint), Photoshop and Acrobat
