- Tenant Coordinator
Job Summary
Reporting to the Manager, Housing Operations and in accordance with Ballenas' mission, strategic direction, principles and policies, the Tenant Coordinator is responsible for complying with the Residential Tenancy Act and administering all tenant related matters such as tenant agreements, notices, professional correspondence, rent calculations and arbitrations.
Key Responsibilities
Ensure tenant compliance with rental agreement terms and conditions including adherence to building rules and regulations
Monitor, receive and record rent payments; conduct regular (annual and as required) rent reviews; calculate rent increases confirming rent-geared-to-income (RGI) within BC Housing guidelines; ensure all tenant payments are collected and processed from all office drop off locations
Respond and resolve tenant issues and complete required reporting; ensure efficient and effective administrative processes compliant with the Personal Information Protection Act and Residential Tenancy Act of British Columbia
Provide support reviewing tenant applications, scheduling appointments, interviewing prospective tenants, completing background checks and income verifications
Manage tenant relationships to increase understanding, ensure effective communication, and minimize complaints, address tenant concerns in a timely and satisfactory manner
Manage maintenance related requests and create workorders; coordinate with maintenance team to ensure tenant awareness and compliance with required property activities and operations including unit inspections, repairs and building security
Maintain tenant and emergency contact information; prepare correspondence, emails, letters and notices to tenants as well as informational signage; ensure timely communications delivery
Maintain regular communication with team members to ensure work is on track to meet departmental goals; attend regular team meetings
Prepare all required documentation and effectively participate in arbitration hearings
Recognize and appropriately respond to emergency situations in accordance with Ballenas policies and procedures
Perform other duties as required and assigned
REQUIRED QUALIFICATIONS
Education / Experience
Post secondary degree in business field
plus
a minimum of 3 years' experience working with tenants
OR an equivalent combination of education and work experience.
Knowledge
Thorough knowledge of the BC Residential Tenancy Act, the Human Rights Act, and Personal the Information Protection Act
Working knowledge of housing operations, tenant communications, data and document management
Working knowledge of property management and inventory tools/software
Knowledge of MS Office Suite including proficiency and property management software
Skills / Abilities
Understand and carry out oral and written instructions and maintain records
Effectively organize and prioritize the work of staff and resources
Exceptional customer service; superior interpersonal communication (oral and written), collaboration, problem solving, and organizational abilities; proven abilities in customer service and conflict resolution
Model positive, professional communication with tenants and team members; maintain present, patient, calm and active listening, focusing on logical problem solving and de-escalation strategies

Maintain cooperative working relationships with leadership teams, staff, and tenants
Demonstrated experience working directly with vulnerable populations including seniors and persons with mental and physical disabilities, addictions issues and low literacy
