Under the supervision of the Executive Manager, Human Resources, the Attendance Support Officer is primarily responsible for assisting and coaching Board Leaders in the administration of supportive medical absence management programs and procedures in order to ensure that absences are managed in a way that optimally supports our employees as well as operational requirements.
The successful applicant for this Mid-Management Level 4 position (salary range of $99,987-$116,390 - under review) will be working 35 hours per week, 12 months per year, effective as soon as possible to August 2028 with the possibility of becoming permanent.
Responsibilities:
Serve as the subject matter expert for the Board's attendance support program
Offer guidance and information to Principals and Managers to effectively navigate the absence process.
Oversee and facilitate the attendance management program and processes by suggesting improvements to work processes, with a focus on mitigating costs associated with excessive absenteeism.
Collaborate with the Employee Relations and Employee Wellness teams to determine necessary courses of follow up and communication with Leadership.
Monitor claims management activities and produce analytical statistics and information to aid in identifying trends through a variety of HR systems.
Assist in review and update of documentation for processes and procedures
Develop, implement and manage training for system leaders on practices and processes pertaining to attendance processes and procedures.
Function within the context of a broad range of technical-based internal policies and external legislation to inform decisions and actions
Manage reputational risk by ensuring that information remains confidential and financial risks by monitoring sick leave absences and ensuring adherence to policy provisions
Mitigate risk by ensuring all documentation requirements are complete, valid and collected and stored in accordance with best practices
Analyze, design, and create reports and queries using Structured Query Language (SQL) database structure for the development of reports and data visualization for system partners.
Create and analyze complex reports for various employee programs and sick leave data that is used to guide programs
Research, recommend, design, and implement best practices for attendance management procedures and processes
Adjudicate medical to determine whether the absence falls within the scope of the ASP
Performs other related duties as assigned
Qualifications:
University degree or college education in a relevant field such as Human Resources Management, Industrial Relations, Business Administration, Law, Psychology, Kinesiology as approved by the Board. Individuals who possess an equivalent combination of education and experience may also be considered
CHRP designation or in progress, or Certified Disability Management Professional or equivalent experience and training. Preference is given to incumbents with at least three (3) years of relevant experience
Comprehensive knowledge of human resources practices and processes, collective agreements, and legislation specific to Human Rights Code, Ontarians with Disabilities Act, Employment Standards Act, Freedom of Information and Privacy Protection Act
Ability to manage highly sensitive issues related to health or personal circumstances with a high degree of confidentiality
Strong interpersonal skills with the ability to build rapport, establish trust, and resolve conflicts through negotiation and mediation
Strong analytical skills with the ability to interpret and analyze complex situations
Preference will be given to applicants who possess advance knowledge of Excel and SQL report writing/data extraction and experience with data visualization applications - such as PowerBI
