Reporting to the Supervisor of Accounting this position is responsible for daily cash balancing and/or reconciling transactions for all bank accounts. Timely and accurate completion of journal entries in JDE received from others including ACTIVENET reports. Prepares and/or reviews accounts receivable requests for administration in JDE as well as provide excellent customer service to customer inquiries on accounts receivable invoices and payments. Daily tasks/duties differ between the two positions, but knowledge of both roles is required for backup.
Job Duties Include
The responsibilities and duties of this position include but are not limited to:
Reconciliation of the daily transaction report from the bank to the Town's general ledger - this includes deposits from all departments, debit/credit card transactions, EDI downloaded transactions, automated withdrawals, electronic deposits, investments, NSF items and other miscellaneous items such as bank debit or credit memos
Reconciliation of all cleared cheques in JD Edwards
Daily balancing of VTAX and JD Edwards transactions
Preparation of journal entries or bank deposit advice for items not recorded in the general ledger
Liaising with the bank and/or follow-up with other departments to resolve unreconciled items as they occur
Preparation of account reconciliations for asset, liability, capital and reserve/reserve fund accounts on a regular basis, including appropriate analysis and follow-up
Preparation of accounts receivable invoices for Ajax Public Library in conjunction with the account reconciliation
Monitoring of the US$ bank account balance and purchase of US funds through bank transfer for replenishment, and prepare report and journal entry for distributing US cheques written as required
Review of US$ purchases, self-assessment for HST implication and prepare journal entries
Review of A/R requisitions before data entry, verify calculations and account numbers and determine appropriateness of HST collection
Preparation of monthly reports detailing status of accounts receivable accounts and actions taken
Participate in JD Edwards updates and testing as required
Provide back-up for Part-time Accounting Clerk during vacations or other absences
Qualifications/Skills
Community College diploma in Business/Accounting
Minimum two to three years' current and relevant experience in a computerized accounting financial system environment
Knowledge of Generally Accepted Accounting Principals
Accounting functions at an intermediate level
Proficient computer skills including competency with Microsoft Excel
Possession of strong interpersonal and customer service skills
High level of accuracy and attention to detail required for data entry and review of data entry
Excellent oral and written communication skills
Ability to work in a fast-paced environment and complete high volumes of journal entries on a timely basis
Excellent organizational and time management skills
What is Offered to Staff
Rate of Pay
: $34.37- $36.91 per hour.
Hours of Work
: This is a non union position that works a 35 hour work week. The hours of work are Monday to Friday from 8:30 a.m. to 4:30 p.m.
Contract Duration
: This temporary position is for approximately 12 months in duration.
