Job Duties

Maintain the integrity and consistency of academic space and timetabling data

Provide expertise to the Manager, Enrolment Services Modernization, other functional areas, and program areas for designing, building and maintaining policies and procedures. Manage, develop and deliver timetabling and space booking system training so proper procedures are being followed. This ensures data is being entered and manipulated in an expected and consistent way. Approve the release of upgrades or changes to the timetabling and space booking system Control, approve, and maintain appropriate levels of staff access to space and timetabling data within the timetabling and space booking system.

Enrolment Services and Academic Scheduling Services planning

Provide expertise to Enrolment Services management for designing, building and maintaining policies and procedures. Plan and design academic scheduling solutions for Enrolment Services that align to Saskatchewan Polytechnic business needs. Manage change to academic scheduling services. Lead projects and organizational changes.

Operational Management

Document new procedures and update current procedures and manuals. Establish and maintain relationships with external services providers and organizational units. Schedule students, faculty and classrooms/lab/shop space for all credentials

Knowledge and Expertise

Maintain an expert level of specialist knowledge of current and emerging academic scheduling technologies, upgrades and changes. Design, implement and oversee the development, maintenance and support of academic scheduling projects. Research, develop and test academic scheduling system enhancements and integrations. Communicate and negotiate procedures and data standards with internal and external stakeholders, advocating for students as appropriate. Troubleshoot and support academic scheduling system related issues. Share specialized knowledge and provide expert input. Design, implement and oversee academic scheduling data reports. Provide consultation, expertise and support for the validation of student data.

Leadership

Recruit and hire academic scheduling services staff. Train and mentor academic scheduling staff, including the development and delivery of onboarding plans. Provide guidance and direction to plan, prioritize, assign and monitor work of the academic scheduling services team. Provide leadership that fosters communication and collaboration amongst team members. Assess staff performance issues, identify training needs and recommend training/performance plans.

Project Support

Work as both a technical and business expert within project lifecycles for concurrent Enrolment Services and Saskatchewan Polytechnic projects comprised of multi-disciplinary teams. Attend project meetings as a team member and subject matter expert.
Collaborate with the project manager to identify work activities and the hours of effort to produce deliverables.

Required Qualifications, Skills and Abilities (QSA)


Two-year diploma in an Educational Technology or Business-related field with proficiency in systems, to include Microsoft products as well as other systems or an equivalent combination of education and experience.

Five years of experience in an educational setting dealing with complex technical issues, customer needs assessment along with a working knowledge of database systems.

Demonstrates expert knowledge of administrative business processes and academic scheduling systems.

Demonstrated advanced understanding of a complex technical ecosystem and infrastructure.

Experience and/or training in staff supervision.

Effective analytical, problem solving and decision-making skills.

Strong customer service skills and proven ability to develop and sustain productive customer relationships.

Strong organizational and time management skills.

Effective Interpersonal and communication skills.

Demonstrates valuing diversity.
