What you will do:
Reporting to Supervisor, Community Support Services, your primary responsibilities will include, but are not limited to, the following:
Provide administrative support services to the Home Support Services team, including the Care Facilitator, Transportation Coordinator, and the Supervisor, as needed
Support and complete administrative tasks including, but not limited to: approving monthly client billings, taking dining reservations, completing monthly statistics and processing mileage for Home Support Services and Senior Day Program
Process new referrals and support service scheduling needs (i.e. transportation, shopping)
Support dining operations and provide mealtime supervision as needed
Process and assist in managing confidential client records
Communicate with volunteers to confirm dates of service and billings
Enter, update and maintain a high volume of client data in the electronic database (AlayaCare)
Answer a high volume of telephone inquiries from clients, families and service providers, and refer callers as appropriate.
Organize and coordinate office functions for the Home Support Services team including taking minutes
Perform other duties as related to the operation of Home Support Services and department initiatives

What you will bring:
A college diploma or degree in the health or social services field, or equivalent experience
Two (2) or more years of related office experience
Accurate keyboard/data entry skills
Knowledge of the needs of vulnerable populations and the ability to empathize with service users
Excellent oral and written communication skills
Excellent organizational skills and ability to work with minimal supervision
Proficiency with database software, MS Word and Excel
Very good interpersonal skills, ability to interact tactfully and sensitively with clients from a wide-ranging cultural, ethnic and socio-economic backgrounds
Demonstrated ability to work effectively both independently and in a team setting including within a cross-functional team setting
Demonstrated ability to effectively multi-task and handle changing priorities
Knowledge of electronic health records, including AlayaCare software is considered an asset
Valid MTO 'G' class driver's licence in good standing with driver's abstract acceptable to the City (maximum of 3 demerit points; maximum of 2 convictions within the previous 36 months; no driving related criminal code convictions within the previous 36 months; and no ignition interlock restrictions) is required to perform the job.
Current Standard First Aid with CPR certification recognized by the Workplace Safety Insurance Board (WSIB) is required or willingness to obtain within first month of employment at own expense
Familiar with medical terminology, and office administrative procedures/concepts is an asset
Knowledge of Community Support Services and related Home and Community Care Support Services is an asset
Hours of Work:
This position will work Monday to Friday from 8:30 am - 4:30 pm with a one hour unpaid lunch. Some flexibility may be required.
