The opportunity

As a Tax Administrative Assistant, you will be a part of our Private Client Services (PCS). You will be provided with an opportunity to work within a Big 4 firm while being part of an entrepreneurial practice. Your key responsibilities

As a Tax Administrative Assistant, you will assist Tax Staff, Tax Managers, and Tax Partners in organizing the workflow of the group, support entry-level basic tax functions, perform general administrative duties, assist with engagement billing and financial system administration, and manage communication with clients.
Skills and attributes for success
  • Tax Functions: Maintains databases for tracking personal, corporate and trust tax deadlines, electronically assembles tax returns (corporate, personal and trust), composes various tax forms using CCH?s Taxprep and Taxprep Forms software, handles client inquiries and deal with basic CRA tax queries and contacts various government agencies for general tax information, or to resolve basic tax disputes.
  • Document Preparation & Management: Formats, proofreads, and edits letters, memos, faxes reports and presentations (eg Power Point) from draft stage to client-ready work. Uses independent judgment to compose general, non-technical business documents such as written correspondence to tax authorities, or preparation of corporate organizational diagrams/charts. Is privy to, and must protect, confidential materials. Follows an organized filing/document management process for electronic and paper documents.
  • Financial Management Support: Performs tasks supporting the client engagement management process including, understanding of independence regulations, using appropriate tools to open client and engagement codes and ensures compliance of time and expense tracking/reporting. Demonstrates willingness to learn new systems that are proprietary and unique to EY.
  • Billings: Assists partners and their engagement team with client billings by liaising with the financial management group to process Work in Process (WIP) system reports, tracking expenses, drafting and finalizing invoices, time transfers and relieving WIP.

To qualify for the role you must have
  • Minimum 3 years related experience in an administrative role/environment preferred
  • Post-secondary education (university degree or college diploma)
  • Proficient in Word, Excel, PowerPoint, with an aptitude to learn standard firm software and other relevant applicants and technical/office equipment at an intermediate level
  • Demonstrates great attention to detail in editing and proofing capacities
  • Must have strong interpersonal skills and be able to liaise with clients, staff and outside parties
  • Ability to multi-task and meet multiple and/or unexpected deadlines in a demanding environment
  • Demonstrates sound judgment regarding confidential and sensitive matters
  • Available to work overtime during peak tax filing seasons, particularly March, April and June
  • Proven ability to differentiate when to take action independently or to partner as a team

Ideally, you?ll also have
  • General understanding of accounting/tax principles preferred
