The Talent Coordinator provides effective client service and delivery to all Dentons members. This role is accountable for responding to internal inquiries, providing confidential support to the Talent team and for the maintenance of data in electronic files and in Human Resources Information Systems (HRIS). This role maintains strict confidentiality of all information and works in collaboration and in a backup up capacity within Talent to facilitate seamless service for our internal clients.Generally, the hours of work for this role will be Monday to Friday from 8:30 a.m. to 4:30 p.m.; due to the nature of the role, some flexibility may be required. This role is a 15-month full-time leave coverage opportunity.RESPONSIBILITIES

  • First point of contact to respond and resolve \'Tier 1\' employee inquiries, including but not limited to vacation, overtime, timesheets, probation, benefits, compensation changes, general payroll inquiries, corporate policies etc.
  • Partner with the broader Talent team, leaders and employees to ensure a high level of customer service and positive employee experience regardless of the nature of the interaction.
  • Prepare correspondence, letters, documents and employment contracts in accordance with standards.
  • Collaborate with Talent Advisor on bi-weekly and monthly payroll and provides support related to absence management.
  • Support employee leaves of absences requests (parental, medical, personal and/or unpaid leave) and coordinate with Payroll team and Talent Advisors to ensure proper follow-up and tracking of employees on leave.
  • Create and maintain employee digital records as well as personnel-related data in our HR systems and proactively liaise with employees and managers to ensure accurate records.
  • Ensure the confidentiality and integrity of information, track and diarizes transactions to bring forward for payroll cut-off, ensure information is complete and accurate with regular data audits.
  • Produce and update various reports; includes both regularly scheduled and ad hoc reports, as requested.
  • Assist with the organization and coordination of various internal Firm engagement and employee recognition activities including staff appreciation, long service and retirement receptions and holiday/summer parties.
  • Support department leads/managers with administration and logistics of onboarding and offboarding activities by collaborating with various internal teams to complete all relevant steps and activities.
  • Conduct and present new hire orientation, benefits and RSP sessions.
  • Process all relevant forms related to these benefits, employee referral payments and vendor invoices.
  • Develop and evolve administrative processes and procedures while improving employee experience.
  • Contribute to evaluating, developing and enhance company policies as necessary.
  • Accountable for the delivery of excellent client-focused service by engaging in active listening and projecting the highest level of professionalism in every interaction.
  • Actively participate in team meetings and provide support to peers to ensure consistency in the provision of support to internal clients.
  • Provide administrative support to the Talent team, including managing inboxes, scheduling meetings, processing expenses, routine scanning and filing.
  • Other duties and projects as assigned.
REQUIREMENTS
  • Post-secondary degree, diploma or certificate in Human Resources Management; working toward CPHR designation an asset.
  • 2-3 years of HR administrative experience and exposure to Human Resources Information Systems.
  • Excellent written and verbal communication skills with an ability to effectively communicate with individuals at all levels within the Firm.
  • Highly effective project management, prioritization, multi-tasking, organizational and time management skills with exceptional follow through and attention to detail.
  • Consistently meet the needs of clients in high volume and fast paced environment.
  • Ability to absorb new ideas and concepts quickly and to ensure they are clearly communicated to an audience.
  • Energetic, self-motivated, and results-oriented.
  • Ability to develop and maintain positive working relationships.
  • A well-defined sense of diplomacy, including solid negotiation, conflict resolution, and relationship management skills.
  • Politically and culturally sensitive.
  • Strong problem identification and problem resolution skills.
  • High level of critical and logical thinking, analysis, and/or reasoning to identify underlying principles, reasons, or facts.
  • Experience using Microsoft office products including Excel, Word and PowerPoint.
  • Experience with Success Factors considered an asset.
  • Bilingualism (French/English) considered an asset.
  • Demonstrated commitment to privacy and ethical conduct.
