Talent Acquisition Coordinator

Strathcona County, Sherwood Park

This posting is for 1 full-time temporary position up to 18 months

In this blended role, you will utilize your strong knowledge and experience in talent acquisition and recruiting practices to support the Talent Acquisition team, as well as your strong organizational and technology skills to provide administrative support to the HR Business Partnering branch.

Using your strong knowledge of HR policies and procedures, you will work independently, shift and pivot to adapt to an ever-changing work environment and contribute to the implementation and continuous improvement initiatives across the department.

Key Responsibilities Include:

Responsibilities

  • Schedule interviews for the talent acquisition team and hiring managers (online or in-person), ensuring that the interview teams have the appropriate information. Create a positive candidate experience when interacting with candidates at all levels
  • Research and develop alternative sourcing methods. Post jobs to other identified sources (in a timely manner), including various social media channels to increase available quality candidate pool
  • Conduct reference checks
  • Facilitate pre-hire activities, including educational verification and background checks
  • Work within the applicant tracking system (Oracle) to assist the talent acquisition team with resume screening, phone screening, offer letters, follow up etc.
  • Applicant tracking troubleshooting and training as required. Provide assistance to candidates with questions about the application process, how to upload documents, sign offer letters etc. in Oracle, and respond to general employment inquiries
  • Assist in the development of process documents, recruitment tools, including pre-screening and interview guides, job advertisements, interview tools, training documentation etc.
  • Work collaboratively on projects, initiatives and process efficiencies, providing support for organizing materials, project tracking, documentation and communication
  • Track/report on statistics and trends
  • Support overall communication including creating presentations in PowerPoint, SharePoint news stories/articles, and reports in Excel
  • Act as the subject matter expert on SharePoint, work as a super-user and site administrator to support leadership to manage information/documents, assist with troubleshooting and identify opportunities for improvement, develop and deliver training
  • Support the team with their document/file management within SharePoint, edit and move documents as required
  • Maintain corporate visa, prepare expense reports, pay invoices, administer payment vouchers, journal entries and purchase orders
  • Organize meetings, training sessions, course and conference registrations, accommodations and travel as needed
  • Research and gather information on various topics and liaise with the wider organization for relevant information or assistance
  • Working closely with the Financial and Business Analyst, ensure contracts are managed appropriately within the branch and provide relevant business planning and budgeting documents
  • Coordinate onboarding for new employees to the branch
  • Provide coverage at reception and for other HR administrative staff
Requirements:

Skills and Abilities
  • Strong critical thinking and problem-solving skills are required to manage interview schedules, research recruitment sources, understand advertising requirements, conduct research
  • Ability to identify, research and escalate more complex issues
  • Ability to demonstrate sound judgement and work with a high degree of discretion and tact in handling confidential matters
  • Excellent organizational skills with the ability to prioritize and anticipate needs and work under pressure within strict timelines
  • Ability to work independently with minimal supervision, negotiate priorities on short notice and promptly adapt to an ever- changing work environment
  • Strong attention to detail and the ability to identify and solve problems
  • Strong analytical skills with the ability to manipulate and present data
  • Solid written and verbal communication skills, the ability to provide a high level of customer service to the public, County employees and the department
  • Ability to collaborate with, liaise with and support various stakeholders
  • Thrives in a fast-paced work environment, maintains a positive frame of mind and sets an example of professionalism for other employees
  • Ability to respect confidentiality and support sensitive HR matters professionally and discreetly
Qualifications
  • Completion of a diploma in Human Resources, Business, Management or equivalent, with a minimum of (4) years of related, progressively responsible experience
  • In-depth knowledge of HR policies, staffing processes and procedures, employment terms and conditions and talent acquisition practices
  • Advanced computer skills and technical aptitude with the ability to operate in multiple systems, including HRIS (Oracle), Excel (advanced), SharePoint etc.
  • Experience with Applicant tracking systems is preferred
  • Broad understanding of HR policies, programs and services
Equivalencies of education and experience may be considered.
