Position Overview
The
Systems Administrator
will be responsible for overseeing and managing the digital platforms, workflows, and operational systems that keep our agency running. This role requires a balance of technical know-how, organizational expertise, and marketing operations experience. The ideal candidate will be highly detail-oriented, able to manage multiple projects simultaneously, and proactive in maintaining smooth digital operations across client accounts.
Key Responsibilities
Manage and maintain the agency's core digital platforms including Google Workspace, HeyOrca, Mailchimp, and a variety of social media channels.
Oversee digital advertising workflows, including organic and paid social campaigns, ensuring proper setup, tracking, and reporting.
Monitor and manage client access across platforms, ensuring secure and seamless integration.
Support the creation, scheduling, and execution of campaigns across various digital channels, ensuring all Team Members are assigned the appropriate tasks to make this happen.
Develop, implement, and optimize workflows, ensuring projects remain on timeline and within the set budget.
Collaborate with team members to streamline processes and troubleshoot platform issues.
Track performance and prepare reporting on digital campaign results and operational efficiency.
Act as the point of contact for all platform-related questions, troubleshooting, and best practices.
Systems & Platform Administration
Manage and maintain the agency's digital platforms including Google Workspace, HeyOrca, Mailchimp, Google My Business, and all social media channels.
Monitor and manage client access across platforms, ensuring secure and seamless integration.
Oversee workflows for organic and paid campaigns, ensuring proper setup, tracking, and reporting.
Develop, implement, and optimize workflows to keep projects on schedule and within budget.
Troubleshoot and act as the main point of contact for platform-related questions and issues.
Digital Operations & Campaigns
Schedule, deploy, and monitor social media posts and ads across Facebook, Instagram, LinkedIn, TikTok, and Twitter.
Update websites, blogs, banners, and Google My Business profiles.
Deploy Mailchimp newsletters for client accounts.
Manage digital communications such as press releases, surveys, and campaign-related updates.
Support Bonshaw and other client communications related to search and video campaigns.
Reporting & Analytics
Create reports across Google Analytics, Google My Business, and social media insights.
Build campaign goals in Google Analytics and track performance.
Prepare quarterly web reports for select clients.
Monitor PR email and other reporting tools for updates and issues.
Quality Assurance & Content Oversight
Lead quality assurance efforts on final products (web, social, PR, and advertising).
Proof and review social posts, blogs, newsletters, and websites before client delivery.
Ensure copy and creative align with overall strategy.
Identify threats and opportunities in user-generated content and escalate as needed.
Collaboration & Support
Liaise with staff, clients, and contractors to ensure smooth communication.
Collaborate on communications, marketing, and PR strategies.
Provide guidance on content, creative direction, and workflow execution.
Support administrative and operational tasks related to office and project management.
Qualifications & Skills
Bachelor's degree in IT, Marketing, Communications, or a related field (or equivalent experience).
5+ years of experience in systems administration, digital operations, or project management within a marketing/agency environment.
Strong knowledge of Google Workspace, HeyOrca, Mailchimp, and major social media platforms.
Proven experience with paid media campaign management and analytics reporting.
Excellent organizational, time-management, and troubleshooting skills.
Strong communication and collaboration abilities across technical and creative teams.
Familiarity with budget management and performance reporting.
The Systems Administrator will also be expected to become proficient in QuickBooks and Favro. QuickBooks will be used for supporting financial tracking, invoicing, and expense management, while Favro will be central to project coordination, workflow oversight, and team collaboration. Developing expertise in both platforms is essential for ensuring smooth integration of operational, financial, and project management systems across the agency.
