About this Role


Wildpack is seeking a full-time Systems & Administration Coordinator to provide cross-functional administrative support to multiple business units. We're looking for a confident, detail-oriented professional who thrives in a fast-paced, multi-tasking environment. This role is responsible for monitoring and auditing ERP data and transactions and assisting our production center and remote employees with support, troubleshooting and resolution of ERP related requests.

A Day in the Life - What You'll Do

Create and audit deliveries and receipts in the ERP system (Odoo) Setup, manage, and audit manufacturing orders in Odoo Creating and managing products, BOMs, and specification sheets to fulfill sales and manufacturing needs Perform additional administrative tasks as directed

Ongoing ResponsibilitiesPO Audits: Verify pricing accuracy, close aged POs, update item variants Transfer Validations: Confirm product variants, flag incorrect items, verify dunnage Replenishment & Rulesets: Clean up and maintain Odoo rules; validate lead times Product/Item Creation: Manage timely item setup to avoid delays in ordering Expense Reimbursements: Code and submit employee expenses through Odoo Vendor Management: Collaborate with Accounting to create vendor accounts, submit credit applications and tax exemption forms Manage preferred vendor list, request invoices, and support vendor setup Equipment Management Support: + Maintain internal equipment database, track incoming equipment, coordinate surplus sales, and support compliance with internal processes
Follow Wildpack database management protocols through the ERP system, ensuring the correct information has been setup in advance of an activity occurring, identifying if an activity was performed incorrectly or is incomplete, and correcting within the system, activities that were performed incorrectly.

Qualifications - What You Bring

1+ years of experience in sales administration or a coordinator role (preferred Experience working with cross-functional internal teams and external vendors or clients Strong understanding of the manufacturing or supply chain cycle Proficiency in ERP systems, ideally Odoo Meticulous attention to detail and ability to handle routine transactional work with accuracy Proficient in Microsoft Excel, Word, and Outlook Clear and professional communication skills with a strong customer service orientation Strong organizational and prioritization skills in a fast-moving environment Self-motivated and able to work independently with minimal supervision Strong collaboration skills across departments and levels of the organization
