Summary
This is a dynamic leadership and coordination role supporting the smooth daily functioning of the club. You will work closely with the coaching team, Board of Directors, swimmers, and parents to ensure operational excellence, especially in areas like registration, meet management, and pool permitting.
Responsibilities:
Communications & Member Support
Act as the club's primary point of contact for inquiries (email, phone, in person)
Distribute updates regarding programs, meets, cancellations, and club news
Maintain website content and ensure accuracy of information
Meet & Event Operations
Manage swimmer registration for hosted and away meets
Support travel planning, hotel bookings, and documentation for team travel
Assist Meet Managers and Officials Chair with logistics and software tools
Update hosted meet information and results on the club website
Program & Registration Management
Oversee swimmer registration for all programs (competitive, pre-competitive, camps)
Track group assignments, assessments, and session scheduling
Ensure accuracy and consistency with Swim Ontario and Swim Canada registration
Facilities & Permits
Request and manage pool permits from TPASC, TDSB, and the City of Toronto
Arrange for staff parking passes, access cards, and room bookings
Process permit cancellations and adjustments as needed
Staff & HR Support
Post positions, review resumes, and support onboarding
Maintain employee handbook, coordinate staff schedules, track hours/absences
Support payroll documentation and expense tracking
Administrative & Financial Support
Track meet fees, apparel orders, and volunteer bond charges
Support year-end banquets, awards, reports, and yearbooks
Assist the Treasurer with basic reporting and tracking as needed
Governance & Club Support
Assist with the AGM and Board documentation
Prepare seasonal swimmer rosters, staff lists, and class schedules
Coordinate mid- and end-of-season events, mini meets, and Swim-A-Thons
Distribute updates regarding programs, meets, cancellations, and club news
Maintain website content and ensure accuracy of information
Requirements
Experience in a competitive swim club environment
, either in administration or coaching, is a strong asset
Strong computer skills
, including Microsoft Office, Google Workspace, and online registration platforms
Experience with swim meet software
(e.g., TeamUnify, Hy-Tek Meet Manager) and
swim meet logistics/management
is a strong asset
Excellent organizational and time management skills
Professional communication and customer service abilities
Social media awareness
and experience with content creation is an asset
Self-motivated and comfortable working independently and remotely
Schedule flexibility, including evenings and weekends as needed
Must provide a
valid criminal record check
