Also, the incumbent supports other managers as required, providing senior level coordination, administration, and logistical support in ensuring the efficient scheduling, staffing and operations. In addition, this role will be providing administrative and logistical support to the Associate Dean.Key Responsibilities:

  • Oversees academic schedule and timetable processes and completion for all programs in SWCP each semester.
  • Liaises with Associate Dean, MAO and Scheduling Department regarding timetable adjustments considering student and staff scheduling requirements and faculty workloads.
  • Works with the Associate Dean, MAO and Coordinators to review final timetables.
  • Coordinates and prepares non-full-time (part-time) faculty and non-teaching contracts to meet scheduling and program delivery needs. Submits to Human Resources to meet deadlines in Payroll and union collective agreement provisions/requirements.
  • Assists the Associate Dean and Managers as a point of contact for part-time faculty and acquires voicemail, email, issue of keys and classroom access, or other supplies.
  • Coordinates SWF meetings between Associate Dean and faculty.
  • Maintains, prioritizes, and organizes the MAO and Associate Dean\'s schedules including appointments with faculty, staff, senior administrative GBC staff and external industry partners.
  • Trains and provides ongoing support to support staff on cornerstone; prepares offer letters, one-time payments.
  • Assists students with booking meetings with the Associate Dean and Managers.
  • Participates in college activities and working groups (such as IA, Start/End of Term, and internal meetings).
  • Completion and submission of part-time support and student worker payroll and employment contracts according to established policy.
  • Formats and inputs necessary information to prepare letters, memos, reports, spreadsheets, presentations and other written materials.
  • Assist in obtaining quotes and preparing web requisitions according to needs of the school and budget procedures and requirements.
  • Reviews faculty, support, Associate Dean and Manager business and travel claim expenses to ensure they adhere to GBC finance policy.
  • Other duties as assigned.
Educational and Experience Requirements:
  • Three-year diploma or degree from a recognized post-secondary institution in Business Administration, General Arts or a bachelor\'s level education with relevant experience
  • Minimum three (3) years\' administrative experience in a post-secondary education institution.
  • Excellent customer services experience and highly effective written and oral communication skills.
Skills and Attributes:
  • Advanced computer skills (e.g. BANNER, MS Office Suite, IA, Chrome River and, CONCUR) would be an asset.
  • Solid prioritization, organization, time management, and coordination skills; attention to detail.
  • Able to travel to other campuses or off-site within the GTA for meetings or events on a monthly basis.
  • Excellent collaboration, teamwork, and interpersonal skills at a professional level.
  • Demonstrated commitment to uphold the College\'s priorities on diversity and equity.
