Under the guidance of the Youth Administrative team, the Support Program Coordinator assists with the operations of Youth programs and Camp OC at Okanagan College. In collaboration with the team, the Support Program Coordinator is responsible for the development and maintenance of the Youth programs operational and project work plans, including resource allocation, planning, scheduling, change management, ongoing improvements, and evaluation.
Key responsibilities include supporting the day-to-day operations of assigned programs and courses, preparing schedules and room bookings, tracking and maintaining data in registration systems, assisting with communications to students and instructors, and monitoring supply and material budgets.


Functions and Duties


1. Support in overseeing operations - Program and Course delivery

Maintains program schedules, room bookings, and instructor contracts to support accurate and timely program delivery. Supports course and camp start-up and close-out activities, ensuring materials, supplies, and administrative requirements are prepared and completed. i. Ensures internal processes are followed related to youth program and Camp OC set-up, such as work orders, IT requests, purchase orders, hiring etc. Contributes to marketing efforts by ensuring course information is accurate and current across digital and print platforms, supporting visibility and enrollment. Handles complaints and concerns from parents, instructors and staff Builds and maintain external and communal relationships and networks Assists in emergency situations such as major first aid and lost child Supervise campers at lunch and breaks and help in classrooms when required





2. Support of staff and volunteer supervision/coordination


Serves as a resource for instructors, ensuring they have the logistical support, materials, and information required to deliver high-quality learning experiences. Supports the onboarding and orientation of new instructors to ensure smooth integration and effective communication. Provides timely responses to student, parent and staff inquiries and ensures accurate communication regarding program schedules, updates, and requirements. Assist in mentoring Camp OC team members including the volunteers (grade 9+ students). Provides support, guidance, and training for Camp OC staff and assists with performance management and interpersonal conflict issues within the team Prioritizes and assigns work daily Assists in scheduling additional staff as required Addresses and resolves day-to-day work issues Supports the recruitment and training process for full time and part time Camp OC team members



3. Safety and wellbeing


Assists in creating a positive, inclusive and safe environment for all staff, students and campers Ensures all Safety, First Aid and Operational policies and procedures are followed and collaborates with security when safety concerns arise Ensures staff to minor ratios are sufficient Addresses unacceptable behaviours such as bullying, conflict between campers, behavioural issues and contacts parents when needed Makes weather related decisions, such as when to be inside due to smoke, heat or storms Assists with camper's medical alert plans



4. Assist with managing budgets


Monitors program supply and material budgets, providing input into purchasing and budgetary decisions. Tracks and reconciles receipts, purchase orders, and related financial documentation to support accurate budget management. Assists with financial reporting and variance tracking in collaboration with the Program Coordinator. Provide suggestions and solutions to budget decisions such as extenuating refunds and purchase requests. Reviews staffing time sheets and makes sure they are correct Reviews supply and material purchases


5. Performs other duties as assigned.




Education and Experience


Minimum of Diploma in related field such as Education, Management, Leadership or Administration. Over 2 years related experience, including experience working directly with elementary school children. Equivalent combination of education and experience will be considered Must submit a clear Criminal Record Check for children and vulnerable adults Have a current First Aid certification or complete the First Aid course provided during onboarding.
