The Supply Chain & Operations Coordinator is responsible for ensuring the efficient flow of products from overseas suppliers to customers across North America while supporting day-to-day operational activities, managing and coordinating all the daily operational and administrative supply chain activities and tasks related to the inbound freight, warehousing and outbound logistics operation. This role involves coordinating imports, procurement, inventory management, logistics, and export order fulfillment, as well as collaborating with cross-functional teams to maintain service excellence and operational efficiency. The ideal candidate has knowledge of imports and exports and the workings of customs, tariffs and duties. This person is detail-oriented, highly organized, and skilled at balancing multiple priorities in a fast-paced environment.

Key Responsibilities
Supply Chain Coordination
Develop and maintain a good knowledge of products, overseas vendors', and North American customers' operation's needs.
Manage the end-to-end order cycle: Imports (purchase orders, confirmations, shipments), and deliveries (exports and within Canada).
Liaise with suppliers, freight forwarders, and logistics partners to ensure on-time and accurate shipments.
Track inbound and outbound shipments, resolve delays, and provide regular status updates.
Maintain accurate costing of supply chain activities.
Support demand planning by aligning sales forecasts with inventory and supply requirements.
Inventory & Operations Management
Monitor stock levels across warehouses and coordinate replenishments to avoid shortages or overstock.
Maintain accurate records of product movements, batch numbers, and expiry dates where applicable.
Implement inventory control measures to minimize losses and optimize working capital.
Prepare and analyze operational reports (inventory, lead times, supplier performance, etc.).
Customer & Internal Support
Coordinate with the sales team to ensure customer orders are fulfilled accurately and on time.
Resolve customer queries related to deliveries, backorders, or product availability.
Support compliance with operational policies, safety standards, and regulatory requirements.
Provide input to improve supply chain processes and systems.
Cross-Functional Collaboration
Work closely with finance on invoicing, payment terms, and cost reconciliation.
Support sales department with accurate and up to date information
Partner with marketing and sales teams for product launches, promotions, and demand surges.
Collaborate with warehouse and operations staff to streamline receiving, storage, and dispatch processes.
Update and maintain ERP system accuracy related to purchase orders, inventory, confirmations, shipments, and deliveries.
Maintain Documents & System
Prepare, maintain and file product Certificates of Analysis (CoA), Technical Data Sheets (TDS), Safety Data Sheets (SDS) and product labels
Maintain SharePoint data bases tracking imports and exports
Use Sage 50 ERP to generate Purchase Orders (POs), Sales Orders (SOs), Order Confirmations, Delivery Notes (DNs) and Goods Receive Notes (GRNs).
