Position Summary:
Reporting to the Manager, Purchasing & Logistics, the Supply Chain Coordinator, Surgical Services, is responsible to maintain a safe logical environment and flow of supplies that ensures the delivery of quality patient care at optimal costing. The role includes the management, accessibility, organization, coordination and procurement of equipment, instruments and supplies, and works in collaboration with a variety of both business and clinical leaders and stakeholders including but not limited to Procurement and Logistics, MDRD and Perioperative Services, Biomedical Technology and Facilities.
Responsibilities:
Supply Chain and Logistics

  • Manage HLI and direct purchases, loaner equipment, consignment and internal warehouse (stores) inventories pertaining to Surgical Services
  • Maintain Surgical Services inventory levels in conjunction with clinical needs, ensuring all product is available to allow for quality patient care and optimal surgical outcomes
  • Promptly identify, communicate, investigate and resolve inventory supply issues such as backorders, obsolete or otherwise unavailable or delayed product, needed to mitigate the impact/risk to patients
  • Source, procure and obtain clinical approvals for substitute product as needed to avoid disruption to patient care
  • Manage/monitor inventory management system, and liaise with supplier, IT, or other stakeholders as needed to promptly resolve any system issues
  • Optimize and lead the design of inventory supply carts and associated inventory location min/par levels
  • Provide support and guidance to Material Handler team that are responsible to replenish supplies
  • Manage product recalls and safety occurrence reports, maintaining a database of correspondence with suppliers, Risk Management and all applicable end users
  • Conduct product searches and product investigations in response to quality/risk issues
  • Manage, seek appropriate clinical approvals and coordinate new and trial product requests
  • Requisition, receive, reconcile and disseminate required equipment and supplies
  • Expedite and liaise for urgent or special requests for emergency equipment and/or supplies in collaboration with clinical leads or leadership, nursing, surgeons, and suppliers as needed to mitigate the impact/risk to patients
  • Coordinate delivery of borrowed instruments, education, documentation and sterilization requirements to MDRD
  • Respond to emergency equipment and supply requests from peer hospitals by promptly locating, packaging and sending requested items, where approved by appropriate clinical leadership to ensure product can be released
  • Collaborate with Supply Chain team as required
  • Other duties as may be assigned
Instrument and Equipment Management
  • Facilitate instrument and equipment repairs and arrange temporary loaners where required, communicating outcomes though the appropriate stakeholders
  • Generate orders for replacement of instruments beyond repair in consultation with the appropriate clinical leads
  • Obtain competitive quotes with warranties and repair services, for purchase of new instruments and equipment
  • Maintain an understanding of current instrument and equipment service contracts and warranties
  • Verify that instrument sterilization parameters are provided to MDRD via IFU ("Instructions For Use") information to ensure that hospital has the appropriate equipment and processes
Program and Financial Management
  • Actively participate in and contribute to Surgical Services program meetings and working groups
  • Provide support for Surgical Services program RFP's and capital planning initiatives where applicable
  • Collaborate with Procurement team regarding Surgical Services related initiatives, contracts and procurement
  • Work with Supply Chain to reconcile any PO or invoicing discrepancies in Basware Accounts Payable to enable efficient purchase, payment, rebate and credit transactions that may impact the Surgical Services budget
  • Prepare for and facilitate Surgical Services program annual inventory count/reconciliation process where required; complete inventory count sheets/other tasks/team preparation (may occur during off-hours/weekend)
  • Work with clinical partners to standardize practices and procedures to improve savings and reduce redundancy
  • Ensure proper documentation handling at all times that meets Personal Health Information requirements, eg. for special equipment requests, reorder information
Qualifications:
  • Undergraduate degree, college diploma, or equivalent (eg. Supply Chain, Business, Commerce or Medical)
  • 3-5 years of experience in supply chain; specific clinical/technical experience in surgical services preferred
  • Technical proficiency with systems/software, eg. MS Office (in particular Excel), EPIC, Meditech, Basware
  • Sound knowledge of operating room practices, medical devices reprocessing, instrumentation identification, and surgical department processes and practices preferred
  • Demonstrated knowledge of logistics, inventory management, replenishment, procurement, sourcing, item substituting processes
  • Demonstrated adaptability in a fast-paced environment; ability to think critically, change tasks quickly, organize workload, re-prioritize and respond to urgent needs
  • Excellent interpersonal, verbal and written communication, analytical and problem-solving, team building, innovative thinking and conflict resolution skills
  • Comprehensive understanding of lean principles (e.g. lean certification preferred)
  • Supply chain or logistics designation would be considered an asset, e.g. CSCL, CPPB, P.Log, CCLP
  • Strong professional commitment to values of JBH and the perioperative program
