The Supply Chain & Facilities Coordinator is responsible for overseeing day-to-day supply chain functions--including purchasing, inventory control, and warehouse operations--as well as coordinating the maintenance and upkeep of company facilities and fleet vehicles. This role ensures seamless procurement processes, efficient logistics, and safe, well-maintained facilities and equipment to support ongoing business operations.
Key Responsibilities:
Purchasing & Inventory
Source and procure materials, tools, and equipment in alignment with project and operational needs
Maintain accurate records of purchase orders, vendor contracts, and inventory levels.
Work with internal departments to forecast supply needs and optimize purchasing schedules.
Manage the return process for unused or defective materials (e.gl tubes, ballast, equipment) ensuring timely coordination with suppliers, proper documentation, and tracking of credits or replacements
Monitor lead times and backorders, proactively addressing any issues that may impact project timelines.
Identify cost-saving opportunities and negotiate with suppliers.
Warehouse & Logistics
Oversee warehouse operations including receiving, storage, and distribution of goods.
Maintain organization and cleanliness of the warehouse.
Ensure inventory accuracy through regular cycle counts and audits.
Coordinate incoming and outgoing deliveries and manage logistics schedules.
Fleet & Equipment Maintenance
Schedule regular maintenance and inspections for company vehicles and ensure compliance with safety and regulatory standards.
Coordinate repairs and track service history for fleet and operational equipment.
Monitor fuel usage and manage vehicle-related documentation (licensing, insurance, etc.).
Facilities Maintenance
Oversee maintenance and repair of the company's physical facilities.
Coordinate with vendors and contractors for building repairs, janitorial services, and infrastructure upgrades.
Conduct regular facility inspections to ensure safety and regulatory compliance.
Tools
Control tool inventory (locked tool, tool charge out, tool repairs)
Management of large tools, equipment, scissor lifts, genie booms, etc. location and ensure charge to jobs
Qualifications:
3-5 years of experience in supply chain, facilities management, or a related field.
Strong knowledge of Electrical parts is a must
Strong organizational and problem-solving skills.
Excellent communication and vendor management abilities.
Working knowledge of warehouse operations and maintenance best practices.
Proficient in Microsoft Office and inventory management systems (e.g., ADP, ERP systems).
Valid driver's license (required), forklift certification an asset.
Working Conditions:
Combination of office, warehouse, and outdoor work environments.
May require occasional lifting (up to 50 lbs.), extended standing, or use of maintenance equipment.
Regular working hours with occasional flexibility for urgent repairs or deliveries.
