Position Summary




The

Student Outreach Initiatives Coordinator

is a key role in the Mike Petryk School of Dentistry, orchestrating the successful planning, implementation, and administration of its diverse student outreach initiatives.


Under the guidance of the Supervisor, Business Finance and Dental Outreach, this position works closely with the program directors and student leaders who drive the School's clinical outreach programs. They serve as the central point of connection, facilitating coordination across all project activities and expertly linking the university with its community partners to ensure these programs thrive.

Duties




Administration

Work with the program director to develop and maintain a detailed project plan outlining timelines, milestones, and resource allocations for outreach activities. Provide program information to students, support staff and instructors Plan and coordinate program logistics, including arranging transportation to sites. Develop and maintain standard operating procedures (SOPs) for program processes and mobile clinic operations. Organize meetings, distribute agendas, take minutes and to ensure effective communication among stakeholders. Coordinates and prepares administrative and financial reports for the programs Maintain clear and responsive communication with all stakeholders involved in program delivery including volunteers, patients, and community partners to ensure smooth operation of clinics and to confirm that the program is meeting the community's needs. Collaborates with student leaders, faculty, and external partners to organize events, ensuring appropriate protocols are in place and documented. Administers conference planning software, including training and support for all users. Oversees event coordination including communications, marketing, volunteers, AV, Food Services, event registrations, website, space, other logistics, and scheduling.

Clinic Operations

Coordinate the outreach initiative trip activities with the students and program directors to ensure efficient and effective implementation. Create student and instructor's schedule(s) for initiatives as required. Support the program director in ensuring that external sites follow and adhere to IPC (infection prevention and control) standards and protocols; including radiology and nomad training Liaises between the different dental departmental units that contribute to the mobilization of the Clinics including Central Sterilization, Equipment Technician, and Materials Management to ensure all equipment and supply orders are placed and received. Visit the various clinic sites several times each year to coordinate planning activities where needed. Ensure patient charts and documents are appropriately updated as required including performing regular chart and radiology audits. Ensure compliance with all relevant health and safety guidelines during program activities. This includes strictly enforcing Infection Prevention and Control (IPC) practices and Health, Safety and Environment (HSE) standards in the mobile clinics to protect both patients and staff.

Financial Responsibilities

Track all expenditures accurately and ensure spending aligns with the project's contract terms and funding conditions. Help maintain detailed financial records in alignment with the approved budgets. Perform monthly reconciliations for each program, alerting the program directors to any discrepancies. Verifies and processes invoices, non employee expense claims, internal departmental billings (indents), processes corporate credit card payments as well as reconciliation Prepares external billing invoices Tracks, processes, and reconciles dental outreach initiative sponsorships and donations Enters Accounts Payable Journal Vouchers Generates orders in SupplyNet and indicates when an order has been received Manages the procurement, storage, and maintenance of dental outreach equipment inventory, ensuring database accuracy for central audits.

Stakeholder Engagement

Build and maintain strong relationships with key stakeholders, including the community partners Metis Nation of Alberta (MNA) and Otipemisiwak Metis Government, Radius Community Health & Healing, etc., and community leaders. Facilitate clear communication and collaboration among all stakeholders to ensure alignment and a shared understanding of project goals and activities. Represent projects at community events, meetings, and other forums - promoting awareness of the initiative and encouraging community engagement and support.

Minimum Qualifications



A post-secondary degree in a relevant healthcare field; a combination of education and/or experience will be considered. Dental health background with experience using Electronic Health Records is required Valid Alberta driver's license

Preferred Qualifications



Strong understanding of Indigenous health issues and demonstrated cultural competency, especially in working with Metis or other Indigenous communities. Excellent communication, interpersonal, and organizational skills. Ability to work independently with minimal supervision, as well as collaboratively as part of a diverse team. Familiarity with relevant health legislation and regulations, such as Alberta's Health Information Act (HIA), and other privacy or healthcare guidelines Experience in project management, preferably in the non-profit sector, public health, or healthcare environment. Excellent technical skills (computers and other office machines), including aptitude in MS Word, Excel, PowerPoint, Google calendar, Google sites, Google Apps; familiarity with Cally, and the ability to learn new software platforms as necessary.
