Student Affairs and OCAM AssociatePrimary Purpose: The Student Affairs and OCAM Associate is responsible for the Student Affairs and Career Advisory and Mentorship portfolios at the Regina Campus. The portfolio of Student Services includes individual student support and wellness, accommodations, access/referral to counseling, financial advising, student loans and other resources for medical students. This portfolio is also responsible for student guidance and reporting of learner mistreatment, harassment and discrimination. This role will also support the Office of Career Advising & Mentorship (OCAM) in the College of Medicine on the Regina campus. OCAM is led by the Director of Student Services and the OCAM Coordinator to support medical students provincially with the assistance of physician career advisors. This role will support the coordination of OCAM events between Saskatoon and Regina, leading to a more equitable experience for Regina students.Nature of Work: Reporting to the Student Affairs Coordinator, Regina Campus, and the Associate Dean, Regina Campus, and Associate Dean of Student Affairs, UGME, this position will establish and maintain professional relationships with various stakeholders such as students, residents, faculty, departments and outside agencies. This role supports the students on a daily basis and will coordinate meetings (and manage related records) with Faculty in the roles of Office of Student Affairs Directors or the Career Advisors based on the students needs.Skills: Strong evidence of relationship building, demonstrated professional maturity, judgment and decisiveness, exceptionally strong written, verbal, research, organizational and communication skills. Have the ability to deal with confidential matters in a polite and respectful manner. The incumbent will work within a team as well as independently. The position requires the ability to work under pressure in a fast paced environment while balancing competing deadlines and multiple tasks and competing timelines. Experience with database management and confidential records would be an asset. A high level of proficiency with databases, specifically advanced Excel skills and other Microsoft Office Suite and Adobe Acrobat Pro applications, Microsoft Bookings. Familiarity with Canvas, One45, and SharePoint would be considered an asset.Accountabilities: Addresses time sensitive and confidential student concerns involving medical, personal and financial crises, as well as professionalism and academic difficulty for students on the Regina Campus and in longitudinal integrated clerkship sites.

  • Handling Confidential Matters: Addressing urgent and confidential concerns related to students\' medical, personal, financial, academic, and professionalism issues. This involves liaising with relevant parties like the College of Medicine, SHA Privacy Office, and others for breaches of HIPA and patient safety.
  • Monitoring and Triage: Managing reports of Student Mistreatment, Discrimination, and Harassment, ensuring immediate support and safety for students. Mental health training is necessary to identify at-risk students. Serve as one of the primary contacts on the Regina campus for medical students seeking support and guidance from OCAM. This requires that the administrator maintains an awareness of relevant university policies and resources.
  • Incident Management: Monitor and triage confidential reports of student mistreatment, discrimination, and harassment, ensuring immediate support and safety for affected students. Mental health training is essential for identifying at-risk students.
  • Student Support: Meet with students to address urgent, confidential issues, such as academic misconduct, mistreatment, personal or health concerns, and financial crises. Arrange necessary external supports and resources. Development of communication tools and material for OCAM, including social media posts, email communications, educational resources, in collaboration with the OCAM team.
  • Database and File Management: Oversee the Student Mistreatment and Harassment Reporting database and manage confidential student files, including medical records and documentation from academic appeals. Responsible for the management of confidential student files related to career advising. Conduct needs assessment and develops student feedback tools to inform program development.
  • Wellness Programming: Expand and enhance the wellness programming (Restore Program) on the Regina Campus by finding relevant speakers and activities, conducting needs assessments, and developing feedback tools.
  • Resource Development: Develop communication tools and educational materials for the Office of Student Affairs (OSA) and maintain the OSA webpage in collaboration with U of S Communications.
  • Accommodations: Work with Access and Equity Services to arrange and manage academic, clinical, and exam accommodations for students with various needs, and address any related challenges.
  • Feedback and Accreditation: Compile and use student feedback to support responses to Accreditation requirements for Student Services. Research as indicated to support OCAM programming needs in Regina.
  • Event and Administrative Support: Assist with OCAM events, including space booking and administrative support. Develop communication materials for OCAM and support career advising appointments and intake for new medical students. Support the coordination of OCAM events between Saskatoon and Regina, leading to a more equitable experience for Regina students.
  • General Assistance: Provide additional support as needed for the Office of Student Affairs and the Office of Career and Mentoring on other assigned tasks.
Education: A degree in a related field (primarily Health Care, Administration, Education, Adult Education, Human Resources, Social Work, or Psychology). A combination of education and experience may be considered.Experience: Two to three years of experience in a student service or advising office is preferred.
