Reporting to the Vice-President, External Relations and Community Engagement, the Coordinator, Strategic Initiatives plays a vital supporting role in the coordination and execution of cross-functional strategic projects that contribute to Langara College's institutional goals and community engagement. The position provides project management, logistical, communication, and administrative support for high-priority initiatives, working closely with a range of internal and external stakeholders to ensure smooth delivery and effective stakeholder engagement. The position exercises a high degree of autonomy and judgment in coordinating confidential and high-impact initiatives that may involve sensitive organizational change, strategic decision-making, or confidential information related to senior leadership priorities.
The Coordinator facilitates the flow of information, prepares communication and reporting materials, supports implementation plans, and monitors project timelines and deliverables. The Coordinator regularly interacts with and supports executive leadership. The role requires strong communication, project management, organizational, and coordination skills, and an interest in supporting strategic planning and change management processes.
Duties and Responsibilities:
1. Project Coordination and Implementation SupportCoordinates activities and deliverables for strategic initiatives across multiple departments.
Supports the development of project documentation, including plans, timelines, status reports, and stakeholder communications.
Tracks milestones, deliverables, and schedules to support timely execution of strategic priorities.
Exercises discretion and independent judgment in prioritizing initiative timelines, resolving stakeholder concerns, and making operational recommendations.
Assists and leads in the organization of project meetings, stakeholder consultations, and engagement events.
2. Communication and Change SupportPrepares communication materials (e.g., presentations, summaries, briefings) to support internal and external engagement.
Supports the development of messaging for key audiences and contributes to change management efforts by assisting with communication rollouts.
Assists in gathering and synthesizing feedback from stakeholders to inform project planning.
Participates in the development of strategic recommendations that influence College-wide policies and priorities.
Drafts briefing notes, backgrounders, and sensitive correspondence on behalf of senior leadership
3. Stakeholder Engagement CoordinationSupports relationship-building efforts with community partners, government agencies, and Indigenous communities by assisting in meeting coordination and follow-up.
Coordinates logistics for consultations and maintains accurate contact and communication records.
4. Project Monitoring & ReportingSupports the monitoring of initiative progress through data collection, tracking tools, and regular updates.
Assists in compiling reports, executive summaries, and post-project evaluations.
5. Administrative and Strategic Support to Senior LeadershipProvides confidential support to the Vice-President and senior leaders on matters involving strategic planning, organizational change, and reputational risk.
Handles information of a sensitive or confidential nature, including project proposals, partnership agreements, and executive decision-making records.
Maintains project documentation and filing systems.
Supports budgeting and procurement processes for initiative-related activities, including vendor coordination and invoice tracking.
6. Performs other related duties/projects as required.
Qualification Required:
Education & Experience:Bachelor's degree in communications, public administration, business, or a related field.
Minimum of three (3) years of experience supporting projects, stakeholder engagement, or communications in a complex organization.
Knowledge of project management practices
Experience in post-secondary or public sector settings preferred.
Experience in the coordinating and monitoring of operational plans. Experience with budgetary processes, and administration of budgets.
An equivalent combination of education and experience may be considered.
Skills & Abilities:Excellent organizational skills and attention to detail.
Strong written and verbal communication skills.
Ability to coordinate activities across multiple teams and meet deadlines.
Comfortable with drafting reports, presentation materials, and correspondence.
Strong project management skills and organizational skills (planning, scheduling, coordinating)
Proficiency in Microsoft Office and collaboration tools (e.g., Teams, SharePoint).
Ability to work independently and as part of a team.
Demonstrated cultural sensitivity and a commitment to equity and inclusion.
