Job purpose


Responsible to ensure product specifications meet customer and regulatory standards. This position focus on aligning product attributes with customer requirements, maintaining compliance with industry regulations, and providing support to ensure clear communication and adherence to quality standards.

Duties and Responsibilities


The associate's primary functions and responsibilities are as follows:
Serve as the primary contact for customer specification inquiries, ensuring timely and accurate responses. Conduct and manage customer documentation, including questionnaires and technical form, ensuring accuracy, completeness, and alignment with customer and regulatory standards (e.g., FDA, CFIA, USDA, EFSA). Maintain a comprehensive and accurate database of product specifications to ensure consistency across all customer-facing documents. Complete and maintain product specifications within customer portals and internal platforms (e.g., Oracle, Hive, Wave), ensuring correctness of ingredient declaration, nutrition panels, allergen, claims, packaging details, etc. Upload and manage technical documentation in customer portals including HACCP plans, flowcharts, SDS, sustainability statements, etc. Track and monitor internal and external product or formulation changes, ensuring timely updates to customer specifications and documentation. Ensure timely and accurate responses to customer technical inquiries and validation requests, coordinating follow-ups as needed. Assist in updating pricing portals for bids and submitting pricing proposals for review and approval. Collaborate with cross-functional teams (e.g., Quality, R&D, PLM) to resolve specification discrepancies and align on customer-specific requirements. Develop and maintain Quality Attribute Sheets (QAS) for key customers, incorporating sensory criteria, shelf-life targets, quality tolerances, and packaging specifications. Ensure QAS alignment with Bills of Materials (BOM), actual manufacturing processes, and customer quality requirements. Coordinate cross-functional reviews of QAS with teams such as R&D, QA, and Operations to validate accuracy and ensure cross-departmental alignment. Support the onboarding of new products by coordinating specification development and document preparation with commercialization teams. Maintain version control and revision history for all product specifications and customer documentation to support audit readiness. Support internal traceability exercises and respond to audit requests by providing accurate and organized documentation. Conduct lab submissions for nutrition analysis, ensuring proper documentation and timely delivery of test results. Review and validate lab results to confirm consistency with declared nutritional values, ensuring nutritional data consistency across platforms and specifications. Conduct annual nutrition validations to verify label accuracy and ensure compliance with regional regulations. Monitor document expiration dates and proactively manage renewals or revisions. Preform regular reviews and minor updates across hundreds of active SKUs to ensure data accuracy, regulatory compliance, and consistency. Updating internal procedures related to specification control and customer documentation. Perform other assigned duties. Follow Health and Safety rules and regulations. Must follow Good Manufacturing Practices, Food Safety, and Food Defense guidelines. Comply with all Company policies and procedures.

Qualifications

Bachelor's degree in food science, Regulatory Affairs, or a related field. 1-3 years of experience in Regulatory, Specification Management, or Technical Services in the food industry. Strong working knowledge of international food labeling and ingredient regulations (Canada, US, EU, UK, AUS/NZ). Experience working with retailer/customer spec portals (e.g., Trace One, Oracle PLM, Own Brand Systems). Strong organizational and multitasking skills to manage simultaneous spec submissions and customer deadlines. Experience in coordinating nutrition analysis and supporting claim substantiation processes. Proficiency in an additional language (e.g., French or German) is considered an asset. Hands-on experience working in a GMP environment. Excellent communication, attention to detail, and cross-functional coordination skills. Proficient in Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint, with the ability to create and manage documents, spreadsheets, email communications, and presentations effectively. Ability to work in a fast-paced environment.
