We are seeking a Specialist, Marketing & Business Development to join our Edmonton office.

This position plays an important support role in the Business Development and Marketing/Communications functions. Specifically, it assists those teams in the activities and initiatives undertaken to provide business development and profile-building opportunities for the lawyers and practices principally in the Western Canada offices. Working with the national Business Development team, providing administrative support to the Competitive Analytics and RFP functions. The role also calls for involvement in the Firm\xe2\x80\x99s onboarding process for new lawyers & paraprofessionals, and assistance with collecting firm practice (representative work) and generating corporate database research that is central to profiling the firm\xe2\x80\x99s expertise, both internally and externally. The position is the face of a very busy department. As such, it has responsibility for a range of administrative responsibilities, including department budget and credit card reconciliation, preparation of new business pitch materials, and new lawyer bio development. It will deal with a wide range of internal clients from lawyers, legal assistants, and other administrative department resources to their marketing colleagues in Western Canada. It also liaises with external competitive research groups that publish law firm rankings and league table information. It is a point person for advice on advising colleagues/coordinators in other regions of best practices, procedures, and troubleshooting for various tasks. Occasional overtime may be required.

This position reports to the Business Development Manager for Western Canada, and requires frequent communications with the lawyers in the firm\xe2\x80\x99s five national practices. It will occasionally be assigned projects and data mining for Firm management reporting, including to the Regional Managing Partner and Chief Markets Officer. This position serves as the local office main point of contact for sports and entertainment event account representatives, the firm\xe2\x80\x99s promotional item supplier, photographer, conference venues, and external printers.

Key Responsibilities:

General Administration

  • Cheque/Account Payable \xe2\x80\x93 submit cheque requisitions and appropriate coding for Business Development department and track expenses via Excel spreadsheet of what has been paid \xe2\x80\x93 processing roughly 140 invoices annually valued at nearly $1 million;
  • Bi-weekly departmental training for all newly hired general administration staff;
  • Assistance in generating reports for Executive Committee, Practice and Specialty Group leaders, Business Development Manager and the Firm\xe2\x80\x99s Chief Operating Officer;
  • Capture and log client information related to the activity of the Firm\xe2\x80\x99s entertainment tickets into Interaction;
  • Department administration, including (electronic) filing, meeting scheduling and coordination, and the handling of general department inquiries;
  • General project coordination and tracking. Occasional responsibility to complete marketing briefs or memos for distribution prior to project start.
Business Development
  • Assembly and coordination of information and logistics for marketing packages, trade shows, conferences, and presentation/pitch materials;
  • RFP submission support - inserting standard and effective rates of each lawyer, bio and expertise overviews, and headshots of key contacts;
  • Review and reconcile data uploads to Pricing Calculator, used for RFP submissions monthly;
  • Deal and Case collection for RFPs and new business pitches, as well as league table submissions; coordination of translation of same for website posting;
  • Coordinate the set-up of booth space with 3rd party contractors for conferences/tradeshows internationally;
  • Support to the Events Specialist team, providing assistance at larger off-site client events;
  • Data Management & Reporting, experience in preparing reports/dashboards with Business Development KPIs/results of marketing and Business Development initiatives. This is a shared responsibility with the Business Development Manager.
Marketing
  • Coordinate with the Marketing Communications team as required to share Firm and office news and event information;
  • Coordinate planning and editorial schedules with the local publishing lawyers and the Marketing Communication team. Assist with scheduling and keyword research. This is a shared responsibility with the Business Development Manager, as required;
  • Keep up-to-date records of departing lawyers and newly hired lawyers to ensure all Marketing materials are accurate for directories;
  • Monitor the Marketing \xe2\x80\x9cTicket System\xe2\x80\x9d and ensure requests for marketing materials, promotional items, etc., are fulfilled in accordance with department service level expectations;
  • Creation of a local events calendar relevant to practice areas, networking and marketing focuses;
  • Monthly communications to all Vancouver firm members for upcoming local Business Development and Marketing events;
  • Coordinate photoshoots for new lawyers and paraprofessionals;
  • Draft bios for new lawyers and paraprofessionals and publish on the start date.
What you\'ll bring:
  • Experience working in a law firm or other professional services organization is highly preferred, and in a front-line service role that calls for frequent interaction with the professional staff;
  • Solid knowledge of MS Word, Excel, and PowerPoint;
  • Experience creating and/or maintaining reporting dashboards;
  • Some familiarity with CRM databases, ideally with InterAction, would be ideal;
  • Proficiency with a Document Management System;
  • Working knowledge of content management systems (WordPress) and email marketing tools are an asset;
  • Team player with solid time management and organizational skills;
  • Ability to handle multiple projects and problem-solve in a fast-paced environment;
  • Superior attention to detail, accuracy, and quality assurance;
  • Responsiveness and diplomacy;
  • Strong interpersonal and written communication skills, with a proven sense for client service.
