UNIT/PROJECT DESCRIPTION:
DeGroote?s Student Experience team supports all students at the DeGroote School of Business ? MBA, BCom, specialized graduate programs and PhD students. As an integrated team, we champion new ideas, collaborate across boundaries, and learn continually to deliver a consistent and inspiring student experience.

This centralized support role, Student Experience Communications Specialist will develop and coordinate an integrated and comprehensive communication calendar of activities for Student Experience (in partnership with the Marketing and Community Engagement (MACE) team), support a consistent DeGroote School of Business brand and facilitate all internal communications strategies with a key focus on the student. The incumbent may be asked to coordinate select event logistics for all elements of the Student Experience team at both sites ? main campus and the Ron Joyce Centre in Burlington
JOB SUMMARY:
The Specialist, Communications and Events is responsible for developing, implementing, and evaluating a strategic communication plan which includes marketing and event initiatives and incorporating new infrastructure to support the communication and event activities that serve to enhance the overall profile of a department.
PURPOSE AND KEY FUNCTIONS:
Develop, coordinate and implement a strategy and work plan for the communication and promotion of the department.
Develop the infrastructure to support the communications strategy on an ongoing basis.
Develop and execute recruitment, events, and communication strategies and related objectives.
Conduct ongoing market research which includes administering surveys, event evaluations, and planning, coordinating, and facilitating focus groups.
Provide recommendations on the future development of communication strategy, structure, function, and activity.
Complete annual needs assessments and write business plans.
Plan and execute logistics for various events and activities, including providing recommendations on the suitability of space, venues, and set up required for various events.
Provide event management and marketing advice to others.
Compile and disseminate ad hoc reports and products to broad audiences and stakeholders.
Write and design communications, marketing, and dissemination tools for diverse audiences, internal and external to the University, in print and electronic formats.
Coordinate the use of all facilities and meeting space within the department.
Liaise with suppliers of contracted services to ensure all agreed upon services have been provided.
Develop, cultivate, and maintain relationships with various groups and stakeholders.
Evaluate department websites and make necessary changes regarding graphic layout, content, usability and relevance.
Develop presentations and present information at a variety of events.
Source pricing information and order and maintain an inventory of materials and supplies.
Conduct database and web searches to locate documents and articles that can be used for reference in marketing tools.
Update and maintain information in databases.
ASSETS:
Previous experience in a marketing or communications role with strong emphasis on online presence/social media strategies
Exceptionally skilled at the written word ? to craft messages requiring minimal editing; meeting professionalism standards as set by the DeGroote School of Business
Strong communication and interpersonal skills to communicate effectively with all levels of staff and influence, both verbally and in writing
Strong knowledge of website design, along with a flair for creative thinking to deliver an exceptional print, online/web and social media presence for the business school?s programs and Student Experience activities
Ability to negotiate successfully with external vendors
Working knowledge and/or proficiency using various communications tools and applications including; Photoshop, InDesign, Illustrator, iModules, Wordpress, Slack, Asana, Google Analytics
Working knowledge/experience with database management tools, in particular CRM applications
Demonstrated ability to influence stakeholders and colleagues through cross-team projects and change management activities
Strong analytical and problem solving skills
Ability to manage several projects for different stakeholders with demanding timelines
Previous experience in managing time exceptionally well to ensure timelines are met from multiple stakeholders
Demonstrated ability to collaborate with multiple stakeholders to deliver projects that comply with organizational brand standards, support a strategic plan, and complement an established communications framework
Ability to use discretion and maintain confidentiality at all times.
ADDITIONAL INFORMATION:
Communications strategy and initiatives will be the main focus for this role, with the Events component, as required.
During peak times of the year, this role will be required to work outside of normal business hours to attend student-focused activities, workshops and other recruiting related events.
While this role is based out of Burlington (Ron Joyce Centre), the position supports both sites. The incumbent will be required to work in Hamilton on a frequent basis based on the activities schedule and the needs of the all Student Experience departments.
The Faculty of Business and the Student Experience team embraces the philosophy of a flexible work environment. This role can choose to work remotely up to two days each week (using the current flexible work model of 3 days on-campus/2 days remote). A schedule will be created that supports the operations while considering employee preferences
