We are seeking a highly organized, detail-oriented, and proactive individual to join our constituency office team as the
MPP's Scheduler and Constituency Support
. This role ensures the MPP's day runs smoothly, supports community engagement, and helps address constituent concerns. This role has the potential to be extended & become full-time. Salary has potential to increase based on performance.
Key Responsibilities:
Manage the MPP's constituency email account. Check the MPP's specific email daily for updates and action items.
Maintain and update the MPP's calendar, including meetings, events, and travel.
Manage and respond to all invitations -- bringing them to the MPP's attention and confirming speaking responsibilities, location, time, scrolls, or other requirements.
Inform appropriate staff of speaking responsibilities and speech duration.
Enter all event information into the MPP's calendar and ensure details are accurate.
Assist with constituent inquiries, complaints, and concerns -- resolving them directly, with senior staff, or forwarding to the appropriate Ministry or level of government.
Maintain records of constituency concerns and keep the MPP/EA updated on ongoing issues in the riding.
Maintain databases and mailing lists.
Conduct media monitoring for the riding.
Prepare congratulatory scrolls for special occasions (e.g., business openings, birthdays).
Assist in drafting and editing documents, speeches, reports, and correspondence.
Attend events and meetings with or on behalf of the MPP; take event photos and draft social media posts.
Organize and manage specific events for the MPP when needed.
Other duties as assigned.
What We're Looking For:
Experience / Education:
Post-secondary education in administrative studies or equivalent.
Office experience.
Qualifications:
General office administration knowledge and experience is required.
Strong and versatile written and verbal communication skills.
Patience and the ability to show empathy.
Ability to use judgment and discretion.
Able to multi-task and manage projects efficiently in a fast-paced environment.
Detail-oriented and able to work independently.
Confidentially handle requests from multiple sources.
Ability to prioritize and determine the appropriate course of action.
Knowledge of municipal, provincial, and federal government responsibilities.
Strong computer skills, including Microsoft Office Suite.
Ability to attend some evening and weekend events.
Job Types: Full-time, Fixed term contract
Contract length: 8 weeks
Pay: $17.20-$20.00 per hour
Expected hours: 35 per week
