Location: Canadian Coast Guard, James Bay

Reports to: Client Service Manager

Shifts: Monday - Friday 07:15-15:15 but will be required to be available after regular working hours to provide advice and direction

Wage: $22.49/hr plus RRSP

Job Responsibilities

  • Exercise overall responsibility for fire and security patrols of CCG
  • Provide superior customer service to clients and guards on site
  • Perform reception duties for CCG including:
  • receiving and assisting all visitors;
  • responding to the CCG information line listed in the Victoria directory;
  • redirecting incoming telephone calls and answering general enquiries.
  • maintaining and distributing CCG telephone directories;
  • issuing permanent parking passes;
  • Updating vessel situation report and emergency contact list.
  • Control all documentation relating to personnel identification cards
  • Oversee management of CCG Base vehicle pool
  • Participate in or pass on CCG Base Safety Committee information
  • Maintain CCG Base key system
  • Manage the CCG Base telephone system
  • Liaise with CCG Base Management on Base Emergency Plan matters
  • Maintain the Facility key control system
  • Maintain the Facility keycard system
  • Maintain the Facility Parking Pass system
  • Process, create and issue ID cards
  • Report all faulty equipment to the Facility Facilities Manager
  • Investigate incidents and unusual occurrences
  • Arrange extra security for projects or special events
  • Supervise, direct, coach and discipline all Commissionaires working on the Facility
  • Be on call and available to on duty Commissionaires
  • Maintain the Commissionaire\xe2\x80\x99s shift schedule, leave registers and certification expiry dates.
  • Submit reports as required
  • Maintain Post Orders
  • Ensure ISO information and records are up to date
  • Controlling access at the main entrance of the Administration building.
  • Controlling the electronic access system, including operator lock and unlock of access points and setting lock and unlock schedules. Setting up, modifying, and assigning access levels. Controlling and issuing access cards. Utilizing the computer program to administer the system and generate reports.
  • Receiving all visitors to the Facility, determining the nature of their visits and directing them to the appropriate unit or office. Issuing and receiving visitor passes.
  • Maintaining the data facility for identification cards and photographs.
  • Answering the CCG information line, providing general information to the public pertaining to all facets of the CCG and Department of Fisheries and Oceans
  • Operating the CCG switchboard, including receiving telephone calls for the Facility, directing incoming calls to the appropriate office, recording messages, re-directing calls to other departments and agencies, setting up call forwarding and speed dials.
  • Monitoring telephone assignments and dialling procedures and making updates as necessary.
  • Booking meeting rooms
  • Booking and setting up for videoconferences.
  • Updating the daily Vessel Sitrep.
  • Relieving the Huron and Dallas Gate Commissionaire mid-morning and at noon.
  • Perform other duties as assigned by client services manager.
  • Communicates important problems, concerns, and deficiencies to client manager
Qualifications and Experience
  • Fluency with Windows XP, MS Word, Excel and Outlook
  • The ability to deal successfully with difficult situations in a firm but calm and friendly manner
  • Must have outstanding attendance and performance feedback from previous Commissionaire employment history.
  • Excellent public relations, conflict resolution and interpersonal skills
  • Must have previous supervisory experience (coaching, training, etc)
  • Must be a Canadian citizen or landed immigrant and have lived in Canada for at least 10 years.
  • Must have or be able to obtain a Level II clearance
  • Must be minimum 19 years of age
  • Must be physically fit and able to stand/walk for long periods at a time.
  • Must be able to work in a range of weather conditions throughout shift.
  • Must possess a valid B.C. security workers license and a valid standard first aid certificate
  • Must be fluent in the English language - written, verbal and reading skills. French language ability an asset.
  • Must have a positive attitude with a professional demeanor, and strong interpersonal and customer service skills.
  • Have excellent attention to detail to fulfill duties and responsibilities and incident report writing.
  • Have excellent problem-solving skills with an ability to handle emergency situations in a calm manner.
  • Have the ability to work independently and make sound decisions in varying situations.
  • Have knowledge of occupational health and safety regulations.
  • Perform all duties with high safety standards and professionalism.
