Project Coordinator - Site Clerk
Job Overview:
Reporting to the Site Superintendent, Project Manager and Director, the Project Coordinator - Site Clerk will support the needs of the business planning, organizing, and coordinating construction projects to ensure they are completed on time and on budget. Their work hours per week will be a blend between site and site office and will vary depending on the demand of various phases. The Project Coordinator - Site Clerk must be organized; motivated; comfortable dealing with vendors, clients, consultants, and site superintendents. A high level of knowledge of the major construction processes is essential to aid their team in planning construction mythology and logistics.
Responsibilities:
Continually monitor site safety and take immediate action to rectify all emerging safety deficiencies.
Review and maintain project schedules received from the project manager.
Read and understand construction drawings and product shop drawings.
Maintain site safety to MOL, AEC and Jackman Ltd standards. Maintain site records according to
forms and documents provided on Procore and in the Site Super's documentation binder.
Coordinate with vendors; clients; consultants and site superintendents.
Coordinate and document site meetings, including detailed minute taking.
Assist in planning, coordinating and supervising construction activities including own-forces crew and
equipment.
Manage and maintain drawings; specifications; costs and material estimates; as well as
subcontractor and related reports on Procore.
Coordinate procurement of construction materials and supplies, ensuring timely delivery and
accurate quantities.
Monitor workmanship and installation details of individual trades. Ensure conformance to contract
documents.
Coordinate and schedule, with the subcontractors, all required inspections by Municipal Inspectors,
Engineers, Architect, 3rd Party Consultants, Owners, ESA, TSSA, and other governing authorities.
Ensure work requiring inspection is not concealed prior to sign offs.
Prepare and submit, with the subcontractors, Requests for Information to the PM & PC where we
discover interferences, lack of details, unspecified or mis-specified materials and equipment.
Take part in site startup and logistics meetings to ensure proper placement of site requirements
Minute weekly subtrade site meetings and distribute to the attendees within 2 business days
Ensure all subcontractors have provided a Form 1000, receive project safety orientation and that all
workers on site have proper and current training certifications.
Thoroughly reviewing shop drawings in reference to contract documents to identify scope deviation
and conflicts with related components.
Assist in the implementation of comprehensive safety plans and procedures specific to construction
projects.
Ensure that safety protocols are aligned with regulatory requirements, industry's best practices, and
Jackman Ltd. safety standards.
Conduct regular site inspections to identify potential hazards and assess safety risks.
Provide guidance on safety-related certifications and qualifications required for specific job roles.
Assist in investigations into safety incidents, near misses, and accidents.
Assist in root causes of incidents and implement corrective actions to prevent recurrence.
Assist in coordinating with regulatory authorities during inspections and audits.
Continually monitor and expedite the construction schedule. Document and notify delinquent
subcontractors in writing immediately when scheduled commitments are not met. Update project
schedule with Project Manager on a monthly basis.
Take daily progress photos of each trade's work and upload on Procore.
Take daily photos of garbage bins to monitor trade's use of bins.
Fill out & have trades sign off on Subcontractor Backcharge Form in Procore for use of bins and other
appropriate backcharges.
Record descriptions & durations of all activities performed by own-forces.
Maintain a record of hard copy As-Built conditions where structural and architectural installations
differed from the drawings. Keep notes as to why the installations differed from the drawings and
notify the PM.

Daily - Pre-use Inspection (Forklifts, Ariel Platforms, Telehandler, etc)
Weekly - Toolbox Talks
Weekly - Site Inspections
Monthly - First Aid / Fire Extinguisher Inspection
Monthly - JHSC (conducted by AEC Safety)
As needed - Incident Reports - Please ensure a report is done for both incidents and near miss'. AEC
can assist with this as needed.
As needed - Orientations for ALL trades onsite.
Requirements:
Diploma or Degree in Construction Management focused program.
Understanding of the Ontario Building Code and Ministry of Labour requirements
Understanding of engineering and architectural design processes
Valid Driver's License and own vehicle
Good working knowledge of general software such as Excel, Word and MS Project
Ability to work in a fast-paced and demanding environment
Confident and personable
Ability to provide simultaneous support for needs across multiple projects in various phases
Initiative to prioritize and direct the actions of sub-trades, vendors and suppliers
Excellent written and oral communication skills
Exceptional organizational skills
Can confidently and accurately communicate the task at hand
Proficiency in MS Project and Procore are assets
Job Types: Full-time, Permanent
Pay: $70,000.00-$85,000.00 per year
