We are looking for an on-site administrator for our large condo community located in St.James.
Our ideal candidate is organized and tech-savvy with admin-related software (Microsoft, Google apps, Email). They have clear communication, know how to prioritize, and a friendly and approachable attitude to assist both resident needs, and day-to-day overall operations that can be expected of a large property like ours.
While things run pretty smoothly and stress-free around here, this person remain solution-oriented with available communication resources when unexpected needs come up. This might look like notices regarding unexpected water shut-off, letting residents know about snow clearing after a major storm, or other unplanned happenings that come with any apartment-style property.
PRIMARY RESPONSIBILITIES
Keeping record of daily duties, resident issues
Accepting and logging in resident payments, condo fees, key purchases, etc.
Key control
Provide unit access as required for maintenance, fire alarm, fireplace cleaning, dryer vent cleaning, trades, etc.
Able to communicate professionally by telephone & email with Unit Owners, Board,
Management, and subcontractors.
Maintaining guestroom and social room rental booking register and deposits
Maintaining resident info spreadsheet/database
Delivery and posting letters notice/communication as required. (paper & digital)
Working with Property Management company, Maintenance Manager and Board of Directors on both day-to-day and seasonal-specific operational items & admin tasks
Request work order from management to trades and providing to Maintenance Manager
Other projects and tasks as delegated by Board/Management company
Supervision and training of recreation centre seasonal personal
ADDITIONAL RESPONSIBILITIES
Daily cleaning of the clubhouse
PROFICIENCIES REQUIRED
Mandatory: Microsoft Office, Google Sheets, Outlook for Email
Nice to have: A knowledge of basic Facebook page updates (a Facebook account not required)
REGARDING HOURS
During summer months (approximately May-September) this is a full-time role due to on-site seasonal amenities. Hours may become part time for fall/winter months with additional hours added for flux work like snow clearing and special projects that require more time as required.
