We are currently seeking an organized and detail-oriented

Administrative Assistant

to support a fast-paced maintenance site services project. This role plays a critical part in maintaining the efficiency and accuracy of day-to-day site operations. The ideal candidate will bring strong administrative skills, familiarity with timekeeping systems, prioritizing, fluency in Microsoft Excel, and a commitment to safety and teamwork. Key Responsibilities:



Compare & verify daily card swipes to time recorded. Build close relationships with the client. Daily input of time into the clients database. Generate & close out internal work orders. CSS Dispatch (ex. answering the phone, radio & email) Submit & track overtime requests. Some reporting, as required by the client. Work closely with the PM & Project Accountant to complete tasks in a timely & efficient manner.

Qualifications:



Previous experience in an administrative role, handling inputting & tracking of time, preferably in industrial construction. Proficient in Microsoft Office (Excel, Word, Outlook). Experience with Maximo considered an asset. Strong organizational skills with attention to detail and accuracy. Ability to thrive in a fast-paced, deadline-driven environment. Team player, willing to continuously and proactively collaborate, share and seek information and guidance. Familiarity with safety regulations and procedures in industrial settings. Strong interpersonal, analytical and facilitation skills; ability to communicate technical information and articulate the plan to non-technical staff, technical staff and management. Ability to manage multiple jobs and changing priorities, strong coaching ability. Ability to work to and meet deadlines and schedules and manage multiple task assignments in a matrix organization. Valid driver's license and ability to work on a remote/industrial site.

Working Conditions:



Full-time position with 3 month probational period, located in the Heartland region. Drug and alcohol test required.
Job Type: Full-time

Pay: From $25.00 per hour

Expected hours: 36 - 44 per week
