First Point of Contact
Greet and direct showroom guests with confidence and professionalism
Answer and route incoming phone calls efficiently
Create a welcoming, organized showroom environment at all times
#
Relationships
Reports directly to the
Office Manager
Maintains close working relationships with
Sales, Office, and Fixed Operations
#
Core Responsibilities
Answer telephone calls and provide information or route callers appropriately
Maintain a courteous, calm, and professional demeanor with all customers
Take messages and ensure timely delivery to the correct department
Contact vendors when issues arise and report outcomes to management
#
Daily Tasks
Monitor and respond to emails
Track staff attendance
Maintain coffee and guest areas (stocked, clean, presentable)
Stamp outgoing mail and schedule courier pick-ups
#
Office & Accounting Support Duties
Balance daily cash and tills; investigate and resolve discrepancies
Stock in all new and used vehicles in DMS System
Create stock numbers for vehicles
Data entry for new and used inventory
Post Nissan vehicle invoices
File all new and used vehicle documentation accurately
Post fuel slips in DMS
Maintain customer database
Scan and file documents in the PBS system

Accounts Receivable
Review A/R regularly and report balances over 30 days
Send customer statements
Make monthly overdue follow-up calls
Request and track missing invoices
#
Assets (What Will Set You Apart)
Basic accounting knowledge or prior bookkeeping experience
Comfort reviewing balances, reconciling cash, and spotting discrepancies
Experience in an office, dealership, or accounting-related role
Strong attention to detail and follow-through
