SERVICE WRITER

LOCATION: Nisku, AB

WORK ENVIRONMENT: Shop, Office & Customer Facilities

TYPE: Full-Time (Monday-Friday)

SUMMARY: The Service Writer will be focused on providing administrative support to the Service department, liaising with internal and external customers and ensuring the department runs efficiently on a day-to-day basis.

POSITION REQUIREMENTS/QUALIFICATIONS:
  • High School Diploma, GED or equivalent is required, a Diploma in Business administration is an asset
  • Valid driver\xe2\x80\x99s license with a clean
  • 3+ years\xe2\x80\x99 experience in a Service Writer role or related administrative/ customer service position
  • Experience preparing quotes and opening/ closing work orders
  • Experience with MS Office Suite, with a focus on Microsoft Word, Excel and Outlook
  • Mechanical aptitude or previous exposure to a heavy equipment work environment is an asset
POSITION RESPONSIBILITIES:
  • Manage customer relations for the service department by receiving phone calls and emails and following up with customers to provide status updates
  • Open and close work orders in alignment with internal procedure timelines
  • Prepare quotes
  • Edit and update all work orders to ensure 100% capture of all billable items
  • Provide unit history to the service department for incoming repairs
  • Assist with Shop scheduling to ensure optimal efficiency and customer service
  • Work with factory representatives to ensure customer downtime is minimized
  • Conduct shop walkthroughs with Service Manager to capture real-time status updates
  • Prepare and submit bi-weekly Payroll reports
  • Work with the accounting department to ensure customer accounts are in good standing
  • Ensure on-time billing for all customers
  • Maintain MTO files and ensure all documentation is in compliance
  • Process warranty claims
  • Resolve and/or escalate customer concerns and maintain positive customer relations
  • Assist with the Parts department as required
  • Completed additional tasks as assigned

  • Cooperate with their workplace\xe2\x80\x99s Safety Committee or health and safety representative
  • Use any safety equipment, protective devices or clothing required
  • Not remove or make ineffective any protective device required by the Company or by the regulations.
OTHER DETAILS

Travel Expectations: 2% - 5% primarily locally

Physical Demand: Frequently required to remain in a stationary position, Frequently required to work using fine motor control

Mental Demand: Frequently required to multitask two to three tasks, Frequently required to work using close visual attention
