GENERAL DESCRIPTION:

Under general supervision, the Service Writer supports the fleet maintenance process by providing customer service to internal user groups who require fleet vehicle/equipment maintenance and repairs. The incumbent receives work requests, monitors, and communicates the repair status, and administers the administrative process to maintain a high volume of vehicle availability.

RESPONSIBILITIES:

  • Interact with internal customers requiring vehicle maintenance and repairs, by telephone and in person.
  • Gather basic information from users regarding their issues with the fleet vehicle and communicate with foreman.
  • Research vehicles\' maintenance history and create work orders.
  • Monitor and receive work requests and forward to Foreman or Supervisor accordingly.
  • Track the repair status of vehicles within the Fleet Maintenance Management System and communicate to users.
  • Upon confirmation of repair completion from the shop, review work order notes, enter labor time, and notify user of completion.
  • Coordinate outside repair, recall, or warranty work for vehicles with various vendors.
  • Utilize the AVL system to confirm equipment availability and locations and report accordingly.
  • Enter and track vendor invoice information in the fleet management maintenance software.
  • Assist in the daily planning and scheduling of Fleet Maintenance as required for operational coverage.
  • Support the development of fleet management policies and procedures.
  • Participate actively as a team member and support various health and safety, energy conservation, and operational cost effectiveness and initiatives.
  • Provide exceptional customer service to both external and internal clients, as applicable.
  • Perform other related duties as required.
QUALIFICATIONS

KNOWLEDGE, SKILLS, AND ABILITIES:
  • Basic mechanical aptitude and knowledge of fleet vehicle maintenance procedures.
  • Positive attitude and desire to provide exceptional customer service.
  • Ability to clarify and convey information in a clear and concise manner, verbally and in writing.
  • Proficient in various Microsoft Office applications, and the ability to learn and utilize other fleet specific programs such as the Fleet Maintenance Management System and AVL system.
  • Ability to work independently and to effectively schedule work in order to meet service demands and minimize disruption to users.
  • Works collaboratively and productively with co-workers and actively contributes to team activities.
  • Ability to deal courteously and respectfully with a diverse range of people, using judgement, tact, and sound decision-making skills, sometimes in conflict situations.
  • Strong multitasking skills and the ability to manage a high volume of tasks and requests simultaneously.
  • Ability to adapt quickly to changing priorities.
  • Familiarity with applicable occupational health and safety regulations and the appropriate use of personal protective equipment.
EDUCATION AND EXPERIENCE:
  • Certificate in Office or Business Administration is required.
  • Two (2) years of directly related experience in the field of fleet maintenance administration is required.
  • Previous experience in a Service Writer position is an asset.
OTHER REQUIREMENTS:
  • Ability to provide a Criminal Record Check for review and acceptance.
  • A valid Class five (5) Operator\'s License is required as incumbent will be required to operate a personal or municipal vehicle for business use on a regular basis.
  • May be required to work a shift that includes weekends.
