The
Service Writer
provides administrative and customer service support to the Service Department, ensuring efficient documentation, and communication. This role helps deliver a smooth and positive experience for both customers and technicians.
Role & Responsibilities
Specific Duties:
Creates and maintains work orders and submits to manager for approval
Closes work orders once customer payments have been processed
Contacts customers in regards to bill payments and invoicing and organizes payment process
Manages schedules for service technicians to ensure adequate time for each work order
Monitors technician uniform inventory and ensures correct number of coveralls have been supplied for the week
Follows up with customers regarding overdue balances and accounts in order to retrieve payment
Processes all internal and external work orders for month end
Greets and interacts with customers while displaying a high level of customer service at all times
Maintains customer profiles and spreadsheets
Closes off required work orders at year end
General Duties:
Answers telephone inquiries and forward calls to appropriate departments
Submits office supply replenishment orders to maintain office supply inventory
Maintains complete knowledge of and complies with organization and departmental policies, procedures and standards
Maintains customer and company confidence by keeping information confidential and secure
Maintains a positive working relationship with team members and management in a team environment
Sets an example for the staff of the Dealership by arriving to work on time, leaving at the appropriate time, keeping appointments, respecting the time of others and behaving in a professional manner
Knowledge & Experience
Minimum high school diploma or vocational equivalent
Experience in a similar role is preferred
Experience in an agricultural environment is considered to be an asset
Must be comfortable with current technology
Skills & Abilities
Excellent interpersonal and communication (written & verbal) and listening skills
Must be able to lift up to 50lbs
Must be highly organized
Detail oriented and excellent multi-tasking skills
