Job Overview
We are seeking an energetic and detail-oriented Service & Project Coordinator to join our team. In this vital role, you will oversee project coordination, manage service requests, and facilitate seamless communication across teams. Your proactive approach will ensure projects are delivered on time, within scope, and aligned with client expectations.
Duties:
Service Coordination & Dispatch:
Coordinate daily schedules for service technicians based on job priority, geographic location, and skillset.
Monitor job progress and adjust assignments to meet service deadlines and customer expectations.
Communicate job updates, schedule changes, and urgent requests to field staff.
Serve as the primary point of contact for incoming service requests via phone and email.
Service Administration:
Maintain accurate service records, work orders, technician logs, and documentation.
Complete invoicing, parts ordering, and warranty documentation.
Prepare service-related reports and summaries as required.
Utilize dispatch and service management software to manage workflows and customer data.
Identify opportunities for process improvements within service operations.
Project Support (as required):
Book and manage employee travel and accommodations.
Apply for permits and schedule inspections.
Monitor and manage shared project email inboxes.
File project documentation in accordance with company standards.
Coordinate sending and receiving of project-related deliveries.
Assist with internal events, meetings, and other project-related administrative tasks.
Skills:
Strong interpersonal, written, and verbal communication skills.
Demonstrated ability to problem-solve, multitask, and prioritize effectively.
High attention to detail with exceptional organizational skills.
Strong computer aptitude, particularly with Microsoft Office (Outlook, Word, Excel).
Proactive self-starter capable of working independently with minimal supervision.
Excellent time management skills in a fast-paced environment.
Typing speed of 50 WPM or greater.
Qualifications:
Administrative Assistant Certificate or Diploma preferred.
Minimum of two (2) years of experience in an administrative or coordinator role.
Knowledge of general office practices and procedures.
Before starting in this role, candidates must complete a criminal records check with satisfactory results.
Background in the mechanical, HVAC, refrigeration, construction, or trades industry is considered an asset.
