This opportunity:



As our Service Coordinator, you'll provide administrative support for all front-end operations. Supporting our client intake, scheduling management, and general reception and operations support, you will specifically complete consent and intake processes, conduct general reception duties, handle a multitude of documents and inquiries, and support all administrative departments.

The candidate who will be successful in this role will have strong organizational skills, high attention to detail, effective communication, and the ability to adapt to changing priorities.

While this role will eventually be a hybrid role between in office 4 days per week and from home 1 day per week, it will start as a five day per week in office position for the first 3 months.

The individual must be physically located in 25 km proximity to the Vancouver office.

While start times will vary between 8:30 to 10:30 and end times 4:30 to 6:30, for a total of 8 hours per day, Monday to Friday with the occasional Saturday shift (less than one per month), the default shift for this role will be 10:00 a.m. to 6:00 p.m.

Responsibilities:



Intake & Scheduling Support as required (70%)



Schedule assessments with lawyers, paralegals, legal administrative assistants, case managers, claims adjusters, and other clients Solicit and enter assessor schedules and make necessary changes to schedules as requested Organize telephone calls between lawyers and medical professionals Send updated schedules to assessors each week Support the Service Team Lead and others in managing customer complaints, issues and escalate issues to the Team Lead and Operations Manager for handling

Chaperoning, Reception & Medical Professional Assistance (25%)



Prepare charts, complete consent and intake process with examinees Notify staff and assessors of late or no-show examinees Answer and direct phone call inquiries as required Organize and maintain examining rooms throughout the day Complete chaperoning duties as assigned or required (female) Scan and upload records, consents, and forms Provide files to assessors Conduct office opening/closing procedures and room allocation Order and maintain office and kitchen supplies

Document Coordination as required (5%)



Coordinate incoming and outgoing mail, faxes, and other correspondence Receive, scan, and upload medical records to the system Communicate with clients with respect to consents, intake forms and other matters Ensure preparation and completeness of files for all examinations Identify and correct misinformation in the electronic chart by reviewing the letter of instruction for names, dates, and other pertinent information Flag potential date and other conflicts to the intake and/or reports team for handling with the client Remove duplication in records and ensure an up to date chart is on file
